What does a Zoho CRM consultant do for an Indian business?

In India, a Zoho CRM consultant designs the CRM around how Indian companies actually sell: field executives visiting dealers and retailers, inquiries from B2B marketplaces and ads that need a call back within minutes, WhatsApp and IVR as the main channels, and regional languages. The work also covers consent under the DPDP Act, commercial SMS rules, and GST-ready quotations that pass to Zoho Books or Tally for invoicing.

Indian sales teams are often large, mobile and multilingual. A manufacturer of pumps or electrical goods may have area sales managers in a dozen states, each supporting distributors and dealers, while an inside team calls back inquiries from IndiaMART, Google Ads and the website. Most of the real conversation happens on WhatsApp and the phone.

I work remotely with Indian businesses that bought Zoho CRM because it was the obvious choice, then found the sales team still reporting in Excel. The fix is rarely more features. It is a CRM shaped around dealer visits, inquiry response, follow-up discipline and the quotation format customers expect.

I map that reality first, then configure Zoho CRM to match it.

Zoho CRM design for Indian sales teams

Indian CRM projects need to work for a field executive on a phone as much as for a manager at a desk. These are the parts I design.

Inquiry Capture

Leads from IndiaMART and other B2B marketplaces, Google Ads, Meta, local business directories and the website pulled into Zoho CRM automatically, deduplicated by mobile number and assigned within minutes.

Field Sales and Beat Plans

Dealer and retailer visit plans by area, check-in from the mobile app, order and complaint capture during the visit, and daily activity reports managers can see without calling.

WhatsApp and Cloud Telephony

WhatsApp Business templates for quotations and follow-ups, IVR and call logs from your telephony provider, and missed-call leads routed to the right executive.

Dealer Network Records

Dealers and distributors as accounts with territory, category, credit limit and target, and the end customers or projects they serve, so channel performance is visible by region.

Consent and SMS Rules

Consent purpose and source on each contact, opt-outs that reach every channel, and SMS templates prepared for registration under telecom rules for commercial messages.

GST Quotation Handoff

Quotations with HSN or SAC codes, place of supply and GSTIN, approval for discounts, and a handoff to Zoho Books or Tally where the tax invoice and IRN are generated.

Marketplace inquiries, missed calls and speed of response

For many Indian B2B companies, a large share of new business starts as an inquiry on IndiaMART or a similar marketplace, a Google Ads form, or a missed call to a toll-free number. Buyers often send the same inquiry to several suppliers, so the one who calls back first has a real advantage. In too many companies those inquiries arrive in an email inbox or a marketplace app on one person's phone.

The setup I build in Zoho CRM:

  • Automatic capture from marketplace lead feeds, ad forms, website forms and the IVR, through available integrations or the API, so nobody copies inquiries by hand.
  • Mobile number as the key. Numbers normalized with or without the country code, so a buyer who inquires twice is recognized.
  • Routing by product, state or language, with an escalation if an inquiry is not called back within the agreed window.
  • Qualification fields that match how Indian buyers inquire: product, quantity, location, buying timeline and whether they are a dealer, contractor or end user.
  • Source tracking that survives conversion, so the marketing team can compare marketplace subscription cost with ad spend on orders won.

Dealer networks, field executives and beat planning

Manufacturers and brands in India often sell through distributors and dealers rather than directly. Area sales managers and field executives visit these partners regularly, push new products, collect orders, resolve complaints and follow up on payments. Zoho CRM can support this, but it needs a different structure from a direct B2B pipeline.

  • Dealers and distributors as accounts with partner type, territory, category, credit limit and target, linked to the area manager who owns them.
  • Beat plans that list which dealers each executive visits on which day, with check-in from the mobile app and a short visit form for stock, orders and issues.
  • Project leads such as a hospital, factory or housing project, tracked separately and linked to the dealer or contractor expected to supply it, so influencer selling to architects and consultants is visible.
  • Activity reports for managers by state and area, replacing the daily Excel or WhatsApp summary.

Mobile network coverage in smaller towns can be weak, so I keep mobile layouts short and test offline behavior on the devices your team actually carries. Where secondary sales data and scheme calculations are needed at scale, I assess whether a dedicated distribution tool should sit beside Zoho CRM. The distribution page covers that wider operation.

WhatsApp, IVR, regional languages and consent

WhatsApp is the default business channel in India. Customers ask for catalogs, share site photos and confirm orders there. Connecting WhatsApp Business to Zoho CRM through a supported provider keeps those conversations on the customer record and lets executives send approved templates for quotations, reminders and payment follow-ups. Cloud telephony is the other half: Indian providers offer IVR, call routing and recordings that can log every call against the lead in Zoho CRM.

Language matters as much as channel. Many customers and dealers prefer Hindi or a regional language. I store a preferred language on each contact and prepare WhatsApp and email templates in the languages your teams actually use, while keeping CRM fields and reports in one language for consistent analysis.

Consent now needs proper attention. India's Digital Personal Data Protection Act sets expectations for consent, purpose and how personal data is handled, and commercial SMS and calls are governed by telecom regulations, including registration of senders and message templates. Your legal advisor interprets what applies. In Zoho CRM I add:

  • Consent source and purpose on each contact.
  • Opt-out handling that reaches WhatsApp, SMS and email together.
  • Role-based access to customer data and call recordings.
  • Retention rules for old inquiries.

GST-ready quotations and the handoff to billing

Indian customers expect a quotation that looks like the invoice they will eventually receive: HSN or SAC codes, the right tax split for intra-state or inter-state supply, freight and packing terms, and your GSTIN. If the quote shows the wrong tax, the purchase order will copy it and finance will have to fix it later.

How I connect Zoho CRM to billing:

  • Products in the CRM carry HSN or SAC codes and tax categories that match the accounting system exactly.
  • Customer GSTIN and state are captured on the account, so the quote applies CGST and SGST or IGST correctly based on place of supply.
  • Discount approvals run through an approval process, which matters when area managers have different discount authority.
  • Closed-won deals create a sales order in Zoho Books, where the tax invoice, e-invoice IRN and e-way bill are generated as applicable.
  • Tally users can keep Tally for accounts, with an integration that posts orders and brings payment status back, as long as customer and item masters are owned by one system.

Payment follow-up is part of selling in India, so outstanding balances and overdue invoices are shown on the dealer or customer account, and the area manager sees them before taking the next order.

When Zoho CRM is not the right CRM for an Indian business

Zoho CRM has real strengths for Indian sales teams. It is still not the answer for every business:

  • Secondary sales at FMCG scale. Brands that need retailer-level orders, schemes, claims and distributor stock across a very large number of outlets usually need a distributor management system, with Zoho CRM for key accounts and projects only.
  • CRM inside the ERP. Manufacturers where sales, production planning and dispatch are tightly linked may prefer the CRM that ships with their ERP, such as Odoo or ERPNext, to avoid integration.
  • Global group standards. Indian subsidiaries of multinationals using Salesforce usually benefit from staying aligned. See Zoho CRM vs Salesforce.
