What does a Zoho CRM consultant do for a UK business?
For a British company, a Zoho CRM consultant shapes the CRM around consultative B2B selling, account management and, often, public sector bids, while recording lawful basis and marketing permissions in a way UK GDPR and PECR expect. The work also covers LinkedIn-led prospecting, call recording with a cloud phone system, and quotes that pass cleanly into a VAT invoice in Zoho Books or your accounting package.

Many of the UK businesses I work with remotely sell to other organizations through long, relationship-heavy cycles: professional services firms, technology resellers, specialist manufacturers, facilities and maintenance contractors, and suppliers bidding for public sector framework work. Deals involve several stakeholders, a procurement step and often a formal tender.
In those firms the CRM has two jobs. It must help account managers understand who matters inside each customer, and it must hold marketing permissions that stand up to scrutiny from a data protection lead. Zoho CRM can do both when the design treats people, organizations and consent as separate, deliberate decisions.
I map the selling process and the data decisions first, then configure.
British engagements usually combine a sales process problem with a data protection question. These are the areas I cover.
Buying-group roles on each account, relationship strength, renewal dates and white-space by product line, so key account managers plan from the CRM rather than a slide deck.
A separate pipeline for public sector and corporate tenders: opportunity identification, bid or no-bid decisions, clarification deadlines, submission and award, with frameworks and call-offs tracked against the parent agreement.
Lawful basis, marketing preferences by channel, source and date stored per contact, with suppression lists respected by every campaign and sequence sent from Zoho.
Rules for how long dormant leads and contacts stay, plus a tested routine for finding, exporting or erasing a person's data when a subject access or erasure request arrives.
Lead capture from LinkedIn campaigns, webinars and trade shows with source and permission recorded at entry, so event lists do not quietly become marketing lists.
Quotes in sterling or euros with VAT shown correctly, discount approvals, and a handoff to Zoho Books, Xero or Sage so the invoice is the record your VAT return relies on.

Keep data clean and lawful
British B2B selling tends to run through accounts rather than single contacts. A facilities contractor might hold a contract with a housing association, bid for its next maintenance framework and upsell planned works to the same estates team. Treating each of those as an isolated deal hides the relationship that actually drives revenue.
I usually structure Zoho CRM around three layers:
The tender pipeline deserves its own design. Public sector and large corporate bids follow published timetables with clarification windows, submission deadlines and standstill periods. I use a custom module or a dedicated pipeline with date fields for each milestone, a Blueprint for the bid or no-bid decision, and links to the documents your bid team prepares. Where you win a place on a framework, call-off contracts are tracked against it so you can see how much work the framework is genuinely producing.
The result is a forecast that separates speculative tenders from committed account revenue, which is what most UK boards want to see.
For a British CRM, data protection is not a checkbox at the end. UK GDPR governs how you hold personal data about contacts, and PECR governs electronic marketing such as emails, texts and some calls. The two interact, and your data protection lead or advisor decides your position. I translate that position into fields, rules and routines in Zoho CRM.
The questions I put to the business early:
I then build preference fields by channel, suppression logic that every campaign respects, scheduled reviews for stale data, and a written runbook for rights requests. Data location is a related decision covered on my Zoho consultant UK page.
UK sales teams rarely rely on a single channel. Prospecting usually starts on LinkedIn, moves to email and a phone call, and then to video meetings. Zoho CRM can hold that whole trail, but only if each tool writes back to it properly.
Telephony. Most British firms now run a cloud phone system. These platforms can usually link to Zoho CRM so calls are dialed from the record and logged with any recording attached. If you record calls, decide with your advisor how people are told, how long recordings are kept and who can play them back, then set access in Zoho CRM to match. Recordings are personal data and should follow the same retention rules as everything else.
LinkedIn. Lead gen forms from LinkedIn campaigns can flow into Zoho CRM with campaign and permission fields populated. Connections made manually by reps are a different matter: I agree a simple rule for when a LinkedIn conversation becomes a CRM contact and what permission is recorded. That links directly to my LinkedIn Ads management work.
WhatsApp and SMS. Less central than in some markets, but field and trade teams often use them. If they do, capture the conversation or at least the outcome against the contact, so knowledge does not live on personal phones.
Every connection is listed in an integration register with its owner, so nothing drifts when staff change.
Quotes generated in Zoho CRM are where sales and finance meet. In the UK the invoice, not the quote, is the VAT record that feeds your Making Tax Digital submissions, so the CRM should prepare clean data and leave tax treatment to the accounting system.
Points I settle with the finance director:
Winning the deal triggers the invoice in Zoho Books, or in Xero or Sage through an integration I design with clear ownership of customer records. Payment status then flows back to the account so account managers see overdue balances before their next renewal conversation.
I recommend Zoho CRM to many UK businesses, and I also tell clients when another route is better:
If the bigger question is about your whole system landscape, my UK ERP consultant page and the UK overview explain how I assess it. Work is delivered remotely within British business hours, with recorded sessions for anyone who cannot join live.

Yes. Zoho CRM has data protection features and custom fields that can hold lawful basis, consent source and channel preferences per contact. The important part is deciding what to record and making every campaign and sequence respect it. I design those rules with your data protection lead and test them before any marketing is sent.
It can, with design. I usually create a dedicated pipeline or custom module with milestone dates, a bid or no-bid decision step and links to bid documents. Framework agreements and their call-offs are tracked separately so you can see what each framework actually produces.
Yes, through integrations or middleware. The key decision is which system owns customer records and invoices. I design that ownership so duplicates do not appear, and so account managers can see payment status inside Zoho CRM without logging into the accounting system.
Workshops run live over video inside the UK working day, with recordings and written decision logs for anyone who misses them. Configuration and testing happen between sessions, and I agree a regular review slot with your sales lead so progress stays visible.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
