Why do Indian companies bring in an independent Zoho consultant?
In India, an independent Zoho consultant decides which Zoho apps a business really needs, sets up Zoho Books for GST, IRN generation, e-way bills and TDS, plans the move off Tally, structures multiple GSTINs and branches, and checks how payroll and statutory deductions will run. Unlike an implementation firm, the consultant has no license revenue or build hours to protect, so the advice stays on fit.

Zoho is an Indian company and its apps are everywhere in Indian SMEs, from a single Zoho Books organization at a startup to Zoho One across a multi-state distributor. I work remotely with Indian businesses that are moving off Tally and spreadsheets, rationalizing a Zoho account that grew app by app, or deciding whether Zoho can carry them through their next stage of growth.
The Indian setup is defined by compliance. Every invoice touches GST, many need an IRN, goods movements need e-way bills, and TDS and TCS sit on vendor and customer transactions. Your chartered accountant decides the treatment; the system has to apply it without manual fixes at return time.
I make sure it does, and I make sure the CRM, inventory and operations side is designed just as carefully.
Indian engagements tend to blend statutory accuracy with day-to-day speed for sales and stores teams. Below is the work I typically pick up.
GSTINs, HSN and SAC codes, place of supply, reverse charge and exempt supplies set up in Zoho Books, with sample invoices checked by your chartered accountant before live billing.
IRN generation, QR codes, cancellations and e-way bills for applicable transactions, including who handles portal errors, and how transporter and vehicle details are captured.
Ledger groups, cost centers, bill-wise outstanding, stock items and godowns moved from Tally into Zoho Books and Zoho Inventory, reconciled before the switch-over date.
Deciding whether each state registration sits as a branch or a separate organization, how stock transfers between states are invoiced, and how management reports roll up.
Zoho CRM and Zoho Inventory for dealer networks, field sales teams, price lists, schemes, credit limits and collections, built around how your distributors actually order.
Zoho People and payroll for attendance, leave, PF, ESI, professional tax and TDS on salaries, checked against your locations and the rules your payroll consultant applies.
An audit of which Zoho apps are switched on, who uses them and where data is duplicated, followed by a plan to consolidate, connect or retire apps that add cost without value.
Independent requirements, proposal comparison and acceptance testing when you engage one of the many Zoho implementation firms in India, so scope and quality are clear from the start.

First returns on Zoho
Zoho Books has an Indian edition built around GST, and many businesses file returns from the data it holds. The reliability of that data comes from configuration and discipline, so I review these points with your chartered accountant:
I keep a test pack of invoices, credit notes, transfers and vendor bills for each scenario, so you can re-run it after any configuration change and know the next return is still correct.
Tally is the starting point in most Indian Zoho projects, and finance teams know it deeply. That familiarity is valuable, so the migration has to respect how accountants think in Tally while taking advantage of what Zoho does differently.
The key mapping decisions:
Many companies choose to start Zoho at the beginning of the financial year in April, which keeps the year's books in one system, but a mid-year move is workable with careful opening balances. I always run a dry run and reconcile trial balance, outstanding and stock before the real cutover. The wider method is on my data migration page.
Zoho offers a payroll product in India, and it can work well alongside Zoho People for attendance and leave. Statutory coverage still needs checking against your situation: PF, ESI, professional tax and labor welfare rules vary by state, and some businesses have contract labor, shift allowances or salary structures that need careful setup. I confirm current coverage for the states you operate in, and where gaps exist, connect to your payroll consultant's process instead.
Multi-state businesses need a clear structure. A company with registrations in several states may run each GSTIN as a branch within one Zoho Books organization or as separate organizations, depending on how Zoho currently supports your scenario and how independent each unit is. Stock transfers between states are taxable supplies and need proper invoices and e-way bills, not just inventory movements. I design this with your accountant before any data is loaded.
Indian Zoho accounts are commonly hosted in Zoho's India data center, which suits most businesses, but it is worth confirming the hosting location chosen at sign-up, especially if you serve regulated sectors or overseas customers with their own data requirements. Group reporting across branches, entities and channels usually works best in Zoho Analytics. More on how I work across the country is on the India overview.
Because Zoho is headquartered in India, the country has a very large number of firms and freelancers that implement it, ranging from excellent to inexperienced. Quotes vary widely, and many proposals jump straight to configuration or a large Zoho Creator build without a written understanding of your processes. The result is often an account with many apps, overlapping data and custom code nobody in the company can maintain.
I work for the business, not for Zoho or any implementer, and fit in at whichever point helps most:
India runs on a single time zone, which keeps scheduling simple. I plan workshops away from GST return dates and month-end, and use recorded sessions for branch staff who cannot join live.
Zoho is a strong choice for a large share of Indian SMEs, but I advise against it, or at least insist on a rigorous test, in these situations:
An ERP evaluation tests these cases with your own data. You will get a clear recommendation, and the wider comparison continues on my India ERP consultant page.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

The Indian edition of Zoho Books is designed for GST, including e-invoice IRN generation and e-way bills for applicable businesses. Results depend on correct GSTINs, HSN codes and place of supply settings. I configure and test each scenario with your chartered accountant, who remains responsible for your GST position.
It depends on your reporting needs and how clean your Tally data is. Many companies bring opening balances, bill-wise outstanding and stock, and keep older years in Tally for reference. I run a dry run first so the real cutover is predictable and reconciled.
Zoho's payroll product is available in India and works well with Zoho People for many companies. Check coverage for PF, ESI, professional tax and any state-specific rules that apply to you, and for unusual salary structures or contract labor. I confirm this during discovery before recommending it.
I am independent, so I review scope, estimates and configuration only from your side. Many Indian clients use me to write requirements, compare proposals and run acceptance testing while a local firm handles the build. That keeps the project tied to your processes rather than to the app list.
Yes, there are ways to handle multiple registrations, either as branches within an organization or as separate organizations, depending on your structure and current Zoho support. I design the option with your accountant, including how inter-state stock transfers are invoiced and reported.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
