How should a German B2B company set up Zoho CRM?
A Zoho CRM consultant for a German company designs the CRM around how Mittelstand firms sell: field representatives and an inside sales desk sharing accounts, dealers and distributors, trade fair leads and long framework agreements. The design records marketing consent in a form a German data protection advisor accepts, and passes quotes with correct VAT treatment into Zoho Books or the existing ERP. I do this remotely and independently.

German industrial and wholesale companies often split selling between representatives who visit customers and an inside sales desk that prepares quotes, chases orders and answers calls. A CRM that serves only one side gets ignored by the other, and the account history ends up in personal notebooks and email folders.
I design Zoho CRM so both sides work on the same account record: visit reports from the road, quotes from the desk, dealer activity and service requests in one timeline. Consent rules and the handover to invoicing are settled before configuration starts.
My work runs remotely in English; German wording in templates and emails is written by your staff.
German CRM projects often combine a sales structure question with a consent question. These services cover both.
I define postcode or region territories, which representative and which inside sales colleague own each account, and what each role may see, edit or export in Zoho CRM.
A short mobile visit report linked to the account and open deals, so the inside sales desk knows what the representative promised before the customer calls back.
A booth process for scanning cards or badges, tagging the event and interest, and routing each lead to the right territory owner within an agreed follow-up rule.
Fields and workflows that store how each contact agreed to newsletters, including the confirmation step of a double opt-in, so marketing can prove consent later.
Records for dealers, distributors and end customers with their relationships, so you see which dealer serves which site and where direct and indirect sales overlap.
Quotes with net prices, VAT shown correctly for domestic, EU and export customers, and a clean handover to Zoho Books or your ERP when the order is confirmed.

Make the record trustworthy
In many Mittelstand firms the most valuable customer knowledge sits with a few long-serving representatives. They know which buyer is retiring, which plant is expanding and which competitor visited last month. The inside sales desk, meanwhile, holds the quote history and order details. Zoho CRM earns its place when it joins those two views.
I usually design around a few principles:
Where representatives cover several countries, for example Austria and parts of Switzerland as well as Germany, territories follow the actual travel pattern rather than national borders. I test the design with a real week of visits before the full team switches over.
Many German manufacturers and wholesalers sell partly through specialist dealers or regional distributors. That creates a data problem: the end customer belongs commercially to the dealer, yet your own team supports them technically and wants to know what they bought.
In Zoho CRM I model this with separate account types and relationship fields linking dealer, end customer and installation site. Questions I settle with the sales director first:
Deal registration is a good use of Blueprint: the dealer submits a project, your channel manager approves or rejects it, and the protected period is recorded. Reports then separate direct revenue, dealer-led revenue and projects where both were involved. This structure also helps when conflicts arise, because the history of who registered what is on record. The broader product capabilities are described on my Zoho CRM consultant page.
German practice around advertising emails and unsolicited calls is generally regarded as strict, even when the recipient is a business contact. GDPR governs how you hold the personal data, while separate competition rules govern marketing messages themselves. Your data protection advisor or lawyer decides your position; my job is to make the CRM capable of following it.
The pieces I build in Zoho CRM:
Data center region and the works council conversation are covered on my Zoho consultant Germany page. Here the focus stays on what each contact record must hold so that marketing can run without guesswork.
German B2B customers expect a sequence of documents: a quote, an order confirmation, a delivery note and then the invoice. Zoho CRM usually owns the quote, while the later documents come from Zoho Books, Zoho Inventory or an existing ERP. The handover point needs a clear design.
Points I agree with finance and the inside sales lead:
Templates in German, including the formal tone customers expect, are drafted by your inside sales team from my English structure. I check that every field they reference exists and fills correctly.
Zoho CRM serves many German sellers well, but I say so early when it is the wrong place for the work:
For wider system choices start from my ERP consultant page for Germany or the Germany overview. My CRM consulting service explains the general method behind this work.

Yes, with the right setup. Zoho Campaigns and Zoho CRM can send a confirmation email and record when the contact confirmed. I design the fields and rules so only confirmed contacts receive marketing, and your data protection advisor reviews the wording and the evidence trail before anything is sent.
They use it when it saves them time. I keep visit reports short, make the mobile app show the account history they need before a visit, and remove fields nobody reads. A trial with a few representatives before rollout shows what to cut.
Yes. Many German companies keep orders, stock and invoicing in an established ERP and use Zoho CRM for accounts, visits and quotes. The integration design decides which system owns customers, prices and orders, and I document that ownership so duplicates do not appear.
The engagement runs in English. I prepare the template structure, merge fields and approval rules, and your inside sales team or a local partner writes and checks the German text. I then test that every template fills correctly with real account data.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
