For an Australian company, a Zoho CRM consultant designs the CRM around quote-driven selling, where follow-up speed decides who wins the job, across teams in several states and time zones. A lot of Australian selling runs on quotes. A wholesaler quotes builders and installers, a commercial services firm quotes facility managers, a solar or HVAC company quotes homeowners and businesses, and the one that follows up first and best usually wins. When those quotes live in email and a separate job tool, nobody can see the open value or which ones went cold.

Building a quote pipeline that actually gets chased

In quote-heavy Australian businesses, the sales problem is rarely a shortage of leads. It is quotes sent and forgotten. A rep sends a price on Tuesday, gets pulled onto site work, and by the time anyone follows up the customer has signed elsewhere. Zoho CRM can stop that, provided the quote is treated as a stage with its own rules rather than an attachment on an email.

The structure I usually build:

  • Deal stages tied to the quote lifecycle: inquiry, site visit or scoping, quote sent, follow-up, negotiation, accepted or lost.
  • Quote records in Zoho CRM with line items, GST, validity date and terms, generated from a branded template, so the value and expiry are reportable.
  • Automatic follow-up when a quote moves to sent: a call task, a check-in email and an SMS on agreed days, all cancelled when the customer responds.
  • Lost reasons captured with a short pick list, so you learn whether you lose on price, timing or scope.
  • Manager dashboards showing open quote value by rep and state, quotes nearing expiry and win rate by product.

Spam Act, Do Not Call and privacy in the CRM

Australian businesses sending commercial emails and SMS work under the Spam Act, which in broad terms expects consent, clear identification of the sender and a functional unsubscribe. Telemarketing calls bring the Do Not Call Register into play, and personal information handling falls under the Privacy Act and its principles for organizations it covers. Your advisor decides how each applies to you; I build Zoho CRM so it supports those decisions.

What that looks like in practice:

  • Consent fields recording how a contact was obtained and whether they agreed to marketing, separate from transactional messages such as quote reminders.
  • Unsubscribe handling that updates the contact in Zoho CRM whichever tool sent the message, including SMS replies.
  • Do Not Call screening for any outbound call lists that reach consumers, with a field showing when a number was last checked.
  • Access controls so personal notes, home addresses and sensitive details are visible only to the roles that need them.
  • Retention rules that archive or remove old inquiries rather than keeping every lead forever.

Teams across states, ABNs and phone-first selling

A national Australian sales team might have reps in Brisbane, Sydney, Melbourne, Adelaide and Perth, with different time zones and daylight saving rules depending on the state. Lead routing that ignores this produces inquiries assigned to people who have finished for the day. I configure assignment rules by state or postcode, with working hours per territory, and an after-hours queue that is worked first thing in the morning.

Business accounts need identity data. Recording the ABN on each business account, and validating it at creation, reduces duplicates and gives finance what it needs when the first invoice is raised. Where the business name and trading name differ, both are stored so reps and bookkeepers can find the same customer.

Australian sales is still very phone-first, especially in trades and wholesale. Connectors exist for many cloud phone systems and SMS gateways used locally, so reps can dial from a contact and keep two-way texts on file. I check that:

  • Incoming calls match to the right contact by number, including mobile and landline formats.
  • Call outcomes are captured in a few taps, not a long form.
  • SMS conversations appear on the same timeline as emails and calls.

Mobile matters for reps who spend the day on site. I keep the mobile layout short, with the fields needed to update a deal from a ute or a car park, and leave detailed fields for the office.

Accepted quotes, GST and the link to Xero or Zoho Books

Many Australian businesses run Xero as their ledger and are reluctant to change it, and their bookkeeper or accountant often prefers it that way. Zoho CRM can work with Xero or with Zoho Books. Either way, the important design question is who owns what.

The rules I usually set:

  • Zoho CRM owns the customer relationship, the quote, discount approvals and the decision to accept.
  • The ledger owns the tax invoice, GST treatment, payments and credit notes.
  • Contacts are created once and synced in one direction, with the ABN as the match key where available, so the same customer does not appear twice in accounting.
  • Quote GST uses the same tax categories as the ledger, so the accepted price and the invoice agree to the cent.
  • Deposits and progress payments are agreed upfront: some businesses invoice a deposit on acceptance and the balance on completion, which affects how the deal and invoices are linked.

Payment status then flows back to Zoho CRM, so a rep sees overdue balances before quoting the same customer again. For businesses also running Google or Meta ads, the accepted quote value is sent back as a conversion, a piece of work that links to my Google Ads management service.

When Australian businesses should choose another CRM

Zoho CRM fits many Australian SMEs, but not every one. Situations where I would recommend a different route:

  • Trades where the job is the product. If scheduling, dispatch, job costing and site forms are most of the work, a dedicated job management tool, connected to accounting, may serve better than a CRM-centered setup.
  • Inbound marketing businesses. Companies whose growth depends on content, email nurture and landing pages managed by marketers may prefer HubSpot. See Zoho CRM vs HubSpot.
  • Large enterprise sales teams. Organizations that need complex CPQ, deep partner ecosystems and many internal administrators often choose Salesforce. See Zoho CRM vs Salesforce.
  • Very small teams. Two or three people with a simple pipeline may get most of the value from a lighter tool and less configuration.
