What does an Odoo Inventory consultant do in India?

In India, an Odoo Inventory consultant structures godowns under each state GST registration, designs stock transfers that carry the right challan or invoice and e-way bill, handles material sent to job workers, sets up batch, expiry and MRP tracking for pharma and FMCG, and brings customs duty into item cost. I work remotely and independently, with your chartered accountant agreeing every tax-related step.

Indian distributors and manufacturers usually run stock across several godowns: a main warehouse, depots in other states under their own GST registrations, material lying with job workers, and goods on a truck with an e-way bill. Tally holds the accounting, while actual quantities live in registers, spreadsheets and the storekeeper's memory, so the two rarely match at the year-end count.

Odoo Inventory can hold all of that stock in one database, but the design must respect Indian practice: which transfers are taxable, what document travels with the goods, how batches and expiry dates are printed, and how many units of measure a single item is bought and sold in.

Godowns under each GSTIN and what a branch transfer really is

In India, the inventory structure follows the GST structure. Each state where you hold goods usually has its own GST registration, and moving goods between registrations is generally treated as a supply for GST, even though the goods stay within your company. Moving them between godowns under the same registration usually is not. I do not give tax advice; your chartered accountant confirms the treatment for your transactions. My job is to make Odoo reflect it.

That usually means warehouses grouped by GSTIN, and two kinds of transfer. Movements within a registration go as internal transfers with a delivery challan. Movements between registrations need a tax document and, depending on value and distance, an e-way bill. Some businesses model separate registrations as branches of one company, others as separate companies with inter-company sales; the right choice depends on how independently each location runs and how your accounts are reviewed.

Odoo's Indian localization provides GST taxes, reports and e-way bill and e-invoicing integrations, but how a particular version handles branch transfers needs testing with your real documents. I check this early, before anyone commits to a design, and note any gap that needs configuration or development. See the Indian Odoo overview for the wider localization questions.

Dispatch, transporters and the e-way bill step

Indian dispatch has a rhythm of its own. Orders are picked and packed, the transporter's vehicle arrives, someone records the vehicle number and lorry receipt, and the e-way bill must be generated before the truck leaves. If any of those details sits outside the system, dispatch slows down or goes out without the right paperwork.

In Odoo I usually design delivery as pick then ship, sometimes with a packing step for distributors who send mixed cartons. The final step captures transporter, vehicle and receipt details so the e-way bill can be generated from the same data, through the localization's integration where your version supports it, or through your existing GST software if that works better. I test the full sequence with your dispatch team on a busy day's orders, not just a single sample.

For receipts, many Indian businesses benefit from an input step: goods are unloaded and counted against the supplier's invoice and e-way bill, shortages and damages are recorded, and only then is stock put away. Where incoming material needs inspection, such as raw material for a plant, a quality step can sit in between. Every step must match a real action by a real person, or it will be skipped and the stock figure will drift.

Job work, imports and landed cost

Many Indian manufacturers send material to job workers for machining, coating, printing or assembly. That stock remains yours while it sits at the job worker's premises, and GST rules expect the movement and its return to be documented. In Odoo I treat each job worker as a location you own, with dispatch and return transfers, or use the subcontracting flow from Manufacturing where it fits. Importers face a different costing question. A shipment's cost includes basic customs duty and other levies from the bill of entry, freight, the customs house agent's charges, port and container fees, and transport to your godown. IGST paid on imports is usually creditable, so it should not inflate item cost, subject to your chartered accountant's view.

Odoo's landed cost feature adds these charges to the receipt and shares them out over the items received using a split basis that finance picks. I confirm it is available in your edition and agree split rules with finance, then set a routine for shipments whose agent or freight bills arrive late. Batch, expiry, MRP and multiple units of measure

Pharma, FMCG, agrochemical and food distributors in India work batch by batch. Each batch number and its expiry date must be recorded on arrival, printed on invoices, and used to dispatch the earliest expiry first. Near-expiry stock has to be identified in time to sell, return or claim against the principal, and expired stock must be blocked. Odoo tracks lots with expiry-related dates and supports removal by earliest expiry, so the core is there.

MRP is the gap I see most often. Maximum retail price can differ between batches of the same product, and distributors need it printed on invoices and sometimes used in scheme or margin calculations. Standard Odoo does not, to my knowledge, hold a price per batch in the way Indian distributors expect, so this usually means a small custom field and report changes. I scope it clearly so it does not grow into a large customization.

Units of measure need equal care. Material may be bought by the tonne and issued by the kilogram, or bought in cases and sold in strips or pieces. Odoo handles unit conversions within categories well, but the conversions must be agreed with purchase, sales and stores before go-live. Opening stock entered in the wrong unit is among the most frequent causes of wrong figures after a Tally migration.

Valuation, scanning and edition choice

Costing in Odoo is set per product category, choosing among a standard rate, weighted average or first in, first out, with valuation entries booked live or in periodic batches. Your chartered accountant decides which method suits your accounts and confirms it is acceptable under the accounting standards you follow. I do not give that advice. I run a sample of your actual purchases, imports, branch transfers and sales through each option in a test database, then show your accountant the values and entries side by side.

Scanning helps Indian godowns most where many similar items are handled by staff who change often. Scanning in Odoo is done with the Barcode app, which as I understand it ships only with Enterprise, so the edition has to be settled before hardware is bought. I check network coverage inside the godown, since metal roofs and basements often weaken mobile signals, and test label printing with your products.

Community covers the stock engine, routes and lot tracking, and some Indian businesses run it with community or third-party modules for scanning and localization extras. Signs your godowns have outgrown Odoo Inventory

Odoo Inventory suits a wide range of Indian distributors, stockists, traders and MSME manufacturers. A separate warehouse management product, exchanging orders and stock data with Odoo, starts to make sense in a few Indian situations:

  • You run large fulfillment for ecommerce. Very high daily order counts across many marketplaces may need advanced batch picking, sorting and labor tracking.
  • You are a logistics service provider. Warehousing for many clients with client-wise billing calls for software built for that model.
  • Automation is on the floor. Conveyors and sorters need dedicated control software.
  • Cold chain at scale. Temperature-controlled pharma or food storage with continuous monitoring may require specialist tools.

Before recommending a WMS, I usually check whether the actual issue is discipline at the godown, such as unrecorded issues and returns, because no software solves that alone. Yes, but the design needs care. Transfers between registrations generally need a tax document and possibly an e-way bill, while movements within one registration usually go with a delivery challan. Your chartered accountant confirms the treatment, and I test how your Odoo version handles it with real documents before finalizing.

Odoo tracks batches with expiry-related dates out of the box. Holding a different maximum retail price per batch and printing it on invoices is, to my knowledge, not standard, so it usually needs a small customization. I scope that tightly so it stays easy to maintain through upgrades.

Each job worker becomes a location you own, with documented dispatch and return transfers, or Odoo's subcontracting flow is used where it fits your process. You can then see what every job worker holds and what is pending, and the documents your accountant needs are produced from the same records.

Community covers stock moves, routes and lots. The Barcode app and some localization integrations appear to be reserved for Enterprise, though third-party modules exist for Community. I compare both paths against your requirements and explain who would maintain any extra modules before you decide.

Clean item masters with correct units and conversions, HSN codes, godown-wise and batch-wise opening stock with expiry dates, and values matched to the books on the cutover date. Older vouchers usually stay in Tally for reference, which keeps the migration fast and the opening position easy to verify.
