Can a Spanish company issue its invoices from Zoho Books?
Only if Zoho can show, in writing, how the Spanish edition meets the invoicing software rules that apply to you, and, where relevant, SII, TicketBAI or Navarre requirements, and your asesor fiscal accepts that answer. A Zoho Books consultant tests those flows, agrees the VAT review routine with your gestoría and sets up bank remittances. I do this remotely and independently, without reselling Zoho.

Spanish SMEs look at Zoho Books when invoices, expenses and bank movements are scattered across an old desktop program, emailed spreadsheets and the gestoría's inbox. A cloud ledger with bank feeds and approvals is attractive. The question is whether it can carry the Spanish obligations that now sit on invoicing software itself.
I answer that question with evidence from Zoho and a decision from your advisor, then design the setup so your gestoría spends less time chasing documents, not more.
Each area below has a Spanish twist that a generic Zoho Books setup tends to miss.
I obtain Zoho's written position on the Spanish invoicing software rules for the exact product and plan you will use, including any declaration it provides, for your asesor fiscal to review.
If an entity is in SII scope, registered in the Basque Country or Navarre, or sells into the Canary Islands, I confirm how Zoho Books handles it or whether another program must issue invoices.
An agreed package for the gestoría each period: issued and received invoice records, bank movements and supporting documents, delivered on a fixed schedule in their preferred layout.
SEPA transfers and direct debit remittances, statement imports in the format your bank provides, and matching rules for grouped collections, returned debits and bank fees, tested bank by bank.

Spain has introduced requirements that apply to the software used to issue invoices: records must be complete, chained and protected against alteration, invoices carry a QR code, and in one mode the records are sent to the tax agency as they are created. Software producers are expected to state that their product complies. Timelines have moved before, so I never plan around an assumed date, and your asesor fiscal confirms what applies to you.
For Zoho Books, I ask Zoho in writing:
I then test corrective invoices, cancellations and series changes with sample documents. If Zoho's answer is incomplete or your advisor is not satisfied, a Spanish invoicing program issues the invoices and Zoho Books becomes a management ledger, or is set aside. Beyond the general software rules, some Spanish companies carry extra obligations that change the Zoho Books decision entirely:
For each case that applies, I ask Zoho whether its Spanish offering supports it today and test what it claims. Where support is missing, I do not suggest workarounds that leave you exposed. The usual answer is that a Spanish program built for that regime issues invoices, and Zoho Books either receives summarized data for management reporting or is not used for that entity.

Most Spanish SMEs that consider Zoho Books keep a gestoría or asesoría for VAT returns, annual summaries, corporate tax and payroll. The ledger change only helps if the gestoría's workload shrinks. I meet them early and agree:
The first VAT return after go-live is prepared side by side: the gestoría's calculation and the Zoho Books reports, with every difference traced. After that, the routine is documented and owned by your finance contact. Tax treatment stays with the advisor throughout; I make the data consistent and complete.
Spanish treasury work has its own instruments. Customers may pay by SEPA direct debit remittance, by transfer, by promissory note or through a confirming line set up by a large buyer, and suppliers may expect the same from you. Each instrument has a due date, sometimes a bank discount, and a moment when the receivable or payable is truly settled.
In Zoho Books I check:
Where Zoho Books cannot represent an instrument cleanly, I document the manual entries and their timing, so the bank reconciliation stays current. A ledger that matches the bank every week is worth more than a feature list.
Migration follows the gestoría's calendar. I switch at the start of a period, ideally a financial year, move customers, suppliers and products with valid NIF data, load open invoices with their original numbers and due dates, and agree opening balances with the advisor. A new invoice series in Zoho Books starts cleanly, and the old program stays available for consultation and for any corrective invoice on past documents, as your advisor directs.
Zoho Books is the wrong choice in Spain when:

Ask Zoho for a written statement covering the exact product and plan you will use, then have your asesor fiscal assess it. Rules and vendor positions have both changed over time. I collect that statement, test corrective invoices and cancellations, and recommend a Spanish invoicing program instead if the evidence is incomplete.
Only if Zoho confirms support for the TicketBAI requirements of your province and your advisor accepts it. Without that, invoices should come from a program registered for that regime. Zoho Books might still serve as a management ledger fed with summarized data, which I can design.
Yes, if that is how you want to work. I agree a period package with them, map every tax code to the lines they use, and run the first return side by side so they trust the data. Clean, consistent exports are far easier for a gestoría to work with than piles of documents.
That depends on the current Spanish edition and your bank. I check whether debit files can be generated and accepted by your bank, how mandates are kept and how returned debits are handled. If the bank portal must do part of the work, the manual steps are documented with an owner.
