Buyer-side ERP help for Spanish companies

How can a freelance ERP consultant help a Spanish business?

A freelance ERP consultant gives a Spanish business independent, buyer-side help with ERP decisions and projects. I deliver scoped assessments of current systems, compare integrator proposals, review designs and can serve as a fractional ERP lead, while a Spanish implementation partner configures, trains and supports the platform. I have no vendor ties, scope and terms are agreed in writing and everything runs remotely in English during Spanish working hours.

Spanish companies choosing an ERP tend to receive advice from integrators who each work with a particular platform. The proposals can be good, but they are written to win the project, and a founder or finance director rarely has time to test every assumption inside them.

I work remotely with businesses in Spain as a freelance ERP consultant who sits on the buyer's side only. Clients engage me for a defined task, such as an assessment, a proposal review or a fractional lead role during implementation, and I remain independent of every vendor and integrator involved.

Scope and deliverables are agreed in writing, and you keep every document.

How to Engage

Engagement formats for Spanish businesses

Pick the format that matches your situation; every format is fixed in writing, including where it stops.

Current Systems Assessment

A scoped review of your invoicing program, stock tools, spreadsheets and gestoría handoff, closing with written advice that weighs replacing against extending or tidying up, plus the factors that would drive each route's cost.

Integrator Proposal Review

Competing offers read line by line: scope coverage, Spanish localization and invoice reporting assumptions, migration, training, support model and change control, summarized with the questions to raise before signing.

Fractional ERP Lead

A standing client-side role through the project: running the plan with your team, chairing reviews, recording decisions and risks, readying key users for acceptance and checking the integrator's work against the design.

Partner Selection Support

Help defining what a Spanish implementation partner must deliver, shortlisting candidates, scripting their demonstrations and setting acceptance terms, so the partner relationship starts with shared expectations.

Platform Evaluation

For companies still deciding, a neutral comparison of Odoo, Zoho, Dynamics 365 and ERPNext built on demos that use your real documents, scored on a weighted sheet you keep.

Troubled Project Review

A focused look at an implementation that has slipped or lost user support, covering scope, data, testing and the partner relationship, with a direct recommendation for the next steps.

When a Spanish company brings in a freelance ERP consultant

The moment usually arrives when the current setup stops coping. An exporter adds a second warehouse and stock no longer matches sales. A founder-led company wins larger customers who expect structured invoices and faster answers. A foreign group buys a Spanish business and asks for monthly reporting in its own format. Each situation pushes the company toward a new system, and each comes with integrators ready to propose one.

A freelance consultant is useful precisely because they are not one of those integrators. I am hired and paid by the company alone, I take no commission from any vendor, and the platform you choose makes no difference to me. That allows me to ask awkward questions: whether the problem is really the software, whether a smaller step would do, and whether the proposal in front of you covers what you actually need.

This does not mean working against the integrator. In most projects the best outcome comes from a capable integrator and an informed client, and my role is to make the client informed. For context on selection, design and implementation in this market, see the ERP consultant in Spain page; this page focuses on how the freelance engagement itself works.

Assessment, proposal review and fractional ERP lead

A scoped assessment comes first when the company has not decided anything yet. Through a set of remote interviews and a review of current tools, I look at how orders, stock, invoicing and closing work, and where the gestoría handoff creates delay. The written result sets out the realistic options, their risks and what would drive their cost, so management can decide whether to go to market at all.

A proposal review helps when offers are already in hand. Spanish integrator proposals can look similar on the surface while hiding very different assumptions: who prepares and loads data, whether invoice reporting is included or left to a connector, how many training sessions are planned, how support is charged after the first months. I compare the offers, list what each leaves out and draft the questions to settle before signing.

The fractional ERP lead format runs through the whole implementation. I work alongside your team as the client-side lead, keep decisions and risks recorded, prepare key users for acceptance testing and check that configuration follows the agreed design. It fits companies that lack an internal ERP project manager and prefer not to hire one permanently. For platform-specific questions, see the Odoo in Spain and Zoho in Spain pages.

Working with, or without, a Spanish implementation partner

Most Spanish companies of any size still need a local implementation partner, and I recommend planning for one. Certain work belongs with people in Spain who speak the language of the users: configuring the Spanish localization and invoice reporting, connecting to banks, preparing invoice and delivery note layouts in Spanish, Catalan or Basque, and training administration and warehouse staff. After go-live, someone also has to answer support calls quickly when a submission is rejected or a remittance file fails, and that is not a role for a remote advisor.

There are cases where a lighter model can work. A small company using a cloud platform with solid Spanish localization, and with a confident internal administrator, may implement with guidance and limited outside configuration. I give an honest view on whether that is realistic for you, including where the risks would sit.

Where a partner is involved, I help you choose them and set the terms of the relationship: what they deliver, how acceptance works, what documentation they leave behind and how change requests are handled. During the project I review their work on your behalf, which tends to make expectations clearer on both sides. My ERP evaluation page explains how partner and platform selection works.

Procurement, registration and contract terms

Administration in a Spanish company normally registers a new supplier before paying it, and a consultant based outside Spain is handled like any other foreign supplier. Administration typically asks for company identification, international banking details and a signed non-disclosure agreement. How a foreign service invoice is booked and reported is for your gestoría or asesor fiscal to determine.

Data protection forms a separate step. If the work involves access to personal data about customers, suppliers or staff, your company may want to formalize my position as a data processor under GDPR in an agreement prepared by its own data protection advisor. I supply the information they request and work only within the systems and folders you provide.

The engagement is set out in a written scope listing the deliverables, the planned sessions, the people on your side who contribute and approve, and how either party can bring the work to a close. All reports, maps and logs become your property and can be shared with any integrator or auditor. Contract wording and governing law are reviewed by your own counsel. Prices are not published here; the scope makes the expected effort clear before you commit, based on the processes, entities and people involved. The ERP consulting page summarizes other ways I can support you.

Time zones and the remote working rhythm

Mainland Spain keeps Central European time while India is ahead, so the Spanish morning and early afternoon sit inside my working day. All live sessions go into that shared window: steering meetings, workshops, proposal walkthroughs and acceptance testing. Teams in the Canary Islands are an hour behind the mainland, which leaves a slightly shorter window, and I plan their sessions earlier in their day.

Outside the shared hours I write up findings, compare documents and prepare the next session, so the Spanish team usually finds notes and drafts waiting rather than open questions. Each engagement has a shared folder, a decision record and a list of open items with named owners, which management and any foreign parent can consult at any time.

I do not plan on traveling, though a visit can be arranged if one step genuinely benefits from it. Planning also respects the Spanish calendar, with workshops and go-live dates agreed around summer holidays, regional public holidays and the busy periods for tax filings. FAQ

Questions About Freelance ERP Consultant Spain

Integrators earn their fees by implementing and supporting particular platforms. I am paid only by your company, have no vendor or integrator commissions and do not configure the production system myself. I help you decide, compare proposals, define what the integrator delivers and check their work against the agreed design.

For most projects, yes. Spanish localization, invoice reporting setup, bank connections, layouts in local languages, user training and ongoing support are better delivered by a partner in Spain. Some small companies with capable internal staff can manage with lighter help, and I give an honest view on whether that applies to you.

Usually company identification, international banking details and a signed NDA. If I will access personal data, your data protection advisor may also prepare a data processor agreement. Your gestoría decides how my invoices are booked and reported.

It follows the scope. A single assessment for one entity calls for far less effort than a fractional lead role across several companies and a long rollout. Before anything starts you receive a written scope listing deliverables and sessions, so the commitment is clear in advance. Prices are not shown on this site.

The engagement runs in English. Staff who prefer Spanish, Catalan or Basque can be supported by a bilingual colleague during sessions, and your team or the implementation partner prepares local-language layouts, guides and training from my English documents.
