What does Odoo Inventory need to handle for a Swiss company?

For a Swiss importer, distributor or producer, Odoo Inventory needs to handle goods bought in euros or dollars and valued in francs, landed cost for freight and duties, stock held in Switzerland and in an EU warehouse, serial or lot tracking for precision and medical goods, and links to couriers and logistics providers. Edition and localization points get written confirmation from Odoo or the partner, and my design work is remote and vendor-neutral.

Swiss companies that hold stock usually import most of it. Goods arrive from the EU or Asia, pass customs, and are valued in francs although they were bought in other currencies. Some firms keep a second warehouse just across the border to serve EU customers. Each of those facts affects how Odoo Inventory must be set up.

Foreign currency purchases and landed cost

A Swiss importer may buy in euros from Germany, in dollars from Asia and occasionally in francs locally. Odoo records purchase orders in the supplier's currency and values stock in the company currency, so exchange rates at receipt and at invoice matter. Finance must decide which rate applies and how differences are posted; I implement and test that decision.

Landed cost is where import businesses gain or lose margin visibility. Odoo can add costs to received goods after the fact and spread them across products. For Swiss imports I set up:

  • Cost types. Sea or road freight, customs duties, broker fees, insurance and local delivery to the warehouse.
  • Split rules. By value, weight, volume or quantity, chosen per cost type so heavy, cheap goods do not distort valuable ones.
  • Source documents. Broker and forwarder invoices linked to the receipts they cover.
  • Import VAT. Usually recoverable and handled in accounting rather than added to stock cost; your fiduciary confirms the treatment.

Warehouses in Switzerland and across the border

Some Swiss companies keep stock in an EU warehouse, often run by a logistics provider near the border, so EU customers receive goods without a customs step on every order. Others keep everything in Switzerland and export each shipment. Odoo can model both, but the legal entity behind each warehouse matters.

What I design with operations and finance:

  • Ownership. Whether the EU stock belongs to the Swiss company or an EU subsidiary, which decides how it sits in Odoo.
  • Transfers. Movements from Switzerland to the EU warehouse as an intercompany sale or an internal transfer, as your advisors define, with customs documents prepared by the forwarder.
  • Transit. A transit location for goods on the road or waiting at customs, so stock is not counted twice or lost.
  • Replenishment. Rules that refill the EU warehouse from Switzerland or directly from suppliers.

Customs declarations themselves are normally prepared by a forwarder or broker using their own systems. Odoo supplies weights, values, tariff numbers and origin from product records, so I check that data is complete before go-live.

Serials and lots for precision and medical goods

Swiss distributors and producers of instruments, measuring equipment, medical devices and precision components often have to trace individual units. A customer may ask which serial number went to which hospital or which batch of a consumable was delivered on which date. Odoo can track products by serial number or lot, and lots can carry expiry dates.

Choices I agree with quality and operations:

  • which products are serialized, which are lot-tracked and which are untracked
  • whether supplier serials are kept or replaced with internal ones
  • how expiry dates drive picking for sterile or dated goods
  • how returns, repairs and replacements keep the serial history intact

Medical device regulations in Switzerland and the EU include requirements on identification and traceability. Whether Odoo's data satisfies them, and how device identifiers are managed, is for your regulatory or quality lead to judge. I make sure the data Odoo holds is complete and retrievable, and flag where a specialist system may be needed.

Scanning serials at receipt and dispatch is much faster with the Barcode app, which Odoo has tended to keep in Enterprise; ask the partner to confirm. Where serialized components are built into products, traceability continues on Odoo Manufacturing Switzerland.

Couriers, logistics providers and webshop orders

Swiss companies ship domestic parcels mostly through the national postal service and private couriers, and use freight forwarders for pallets and exports. Odoo has shipping connectors for some carriers, which can create labels and tracking numbers from the delivery order. Which carriers have connectors, and in which edition, changes over time, so I confirm each one with Odoo or the partner before relying on it.

When a logistics provider runs a warehouse for you, I specify:

  • Order transmission from Odoo to the provider, with format and timing
  • Shipment confirmations returned with quantities, serials or lots and tracking numbers
  • Inbound announcements and receipt confirmations
  • Stock comparison between provider and Odoo, with an owner for differences
  • Returns inspection and restocking rules

Webshop and marketplace orders follow the same logic. Connectors exist for several platforms, but scope and support vary, so I treat each one as a requirement to confirm rather than an assumption. Dropship routes cover goods that suppliers ship directly to your customers.

Stocktake, valuation and what to check before choosing

A Swiss year-end includes a physical count, and its valuation flows into the annual accounts prepared with the fiduciary. Odoo supports physical counts by location, adjustments recorded with user and reason, and automated stock valuation using standard price, average cost or FIFO. The method is finance's decision; I configure it and test the postings.

For the stocktake I prepare count lists, a cut-off rule for goods in transit and on consignment, and a reconciliation of the valuation report with the ledger. Stock held at a logistics provider or a cross-border warehouse is counted or confirmed separately.

Points to confirm with Odoo or the partner before committing:

  • which inventory features in your version depend on Enterprise, such as Barcode and some reports
  • whether the Swiss localization affects delivery documents or tax on invoices in a way that matters for you
  • which carrier and marketplace connectors are supported
  • how multi-company stock and intercompany rules behave in that version

Odoo Inventory is less suitable for automated high-bay warehouses, bonded or free-zone storage with customs controls, or strict validated systems in regulated medical distribution.
