Belgian policy has been pushing invoices between businesses toward structured electronic formats carried over the Peppol network. For any Belgian organization choosing Zoho, the question is concrete: can the Zoho Books setup available to you send and receive those invoices, and if not natively, which connector or access point provider would sit between Zoho and the network?
I answer that by testing rather than reading feature pages. On a trial organization we create invoices and credit notes for real customers, check that the structured file contains the right enterprise number, VAT number, references and tax breakdown, and confirm delivery through the chosen route. Incoming supplier invoices are tested too, because receiving and matching structured bills matters as much as sending them.
Data quality is usually the slowest part. Associations and consultancies often hold contacts without enterprise numbers or with old addresses, so I plan a cleanup in Zoho CRM before invoicing goes live. Whether and when the obligation reaches your organization is for your accountant to confirm; readiness of the system and the data is my part. A Brussels federation might write to French-speaking members, Flemish companies and German-speaking members in the east, while its board papers are in English. Zoho can store a preferred language per contact and choose templates accordingly, but the logic and the content both need design.
I write requirements in English and record language as a field-level decision: which contact property drives the language, which documents exist in which languages, and how product or service names are maintained in each. Your bilingual staff, or a translator you appoint, write the French, Dutch and German text, and a named owner per language approves changes. I test every template with real contacts so names, addresses and amounts render correctly.
Email campaigns, web forms and portal pages follow the same rule. A Dutch-speaking member who registers through a Dutch form should receive Dutch confirmations and appear in the CRM under the correct segment. Belgian invoices commonly carry a structured payment reference so the receiving bank transfer can be matched to the right document. I check how your Zoho setup can generate or store that reference on each invoice and how bank feeds or statement imports will use it for reconciliation. Where Zoho cannot do it directly, I document the workaround and its owner.
Payroll is normally processed by an external social secretariat. Zoho is not expected to calculate Belgian salaries; instead I design how payroll journals and cost allocations by project or department reach Zoho Books, and how leave data in an HR app, if you use one, is kept consistent.
GDPR deserves extra care in membership and advocacy work, where contact lists, preferences and event attendance are personal data. I ask Zoho to state which hosting regions it can offer your organization, record that decision with Zoho's processing terms, and configure role-based access and retention. Belgian buyers can choose from Zoho implementers in Belgium, neighboring countries and offshore. Their proposals often focus on configuration and say little about Peppol testing, multilingual templates or data cleanup. Those gaps tend to appear when the first invoices go out.
