How should a Belgian company use the CRM inside ERPNext?
ERPNext CRM gives a Belgian company leads, opportunities, quotations, sales partners and territories inside the ERP, so quotes reuse stock, prices and tax rules. The Belgian work is in the details: one account with contacts and documents in French, Dutch or German, clean enterprise numbers for Peppol invoicing, consent rules and agent commissions. A Belgian sales team may quote a customer in Antwerp in Dutch, its Liège branch in French and a buyer in Eupen in German, while all three belong to one company with one enterprise number. CRM data falls apart when each language or region keeps its own list. ERPNext keeps customers, contacts, addresses, quotes and orders in one database, with a print language per customer and contacts linked to the right address.
Whether that built-in CRM is enough depends on how you sell. Belgian customer data has a particular failure mode. A company with sites in Flanders, Wallonia and Brussels gets entered three times, once by each regional salesperson, each version spelled in a different language. Orders, quotes and credit limits then split across records, and nobody sees the full account. In ERPNext, a customer is the legal entity, and addresses and contacts link to it, so each site and each buyer belongs to one record.
I start with a consolidation exercise: gather the existing lists, match on enterprise number, merge duplicates and decide which branch-level details become addresses and which become separate customers, for example where a branch is billed separately. Each contact gets a preferred language, and the customer gets a print language for documents. Territories can follow regions or sales teams, so pipeline reports show activity per region without dividing the account.
Rules keep it clean afterward. Only certain roles create customers, the enterprise number is required for business accounts and a duplicate check runs on creation. In ERPNext a lead becomes an opportunity, the opportunity becomes a quotation, and an accepted quotation becomes a sales order and then an invoice. Because this chain sits in one system, a Belgian quote can pick up stock availability, customer-specific prices and the VAT treatment your accountant agreed, and the invoice repeats them without retyping.
Peppol raises the importance of the start of that chain. An invoice sent over Peppol is addressed using the customer's identifiers, and it fails if the enterprise number, VAT number or address is wrong. Sales usually creates the customer, so sales owns the data that finance later needs. I add validation so a business customer cannot be saved without the required numbers, and a check that the customer can receive Peppol invoices where that information is available through your access point provider.
The quote document itself follows Belgian expectations your team defines: language, validity, payment terms and any general conditions. The engagement runs in English, so the French, Dutch and German wording comes from native-speaking colleagues or a local partner, and your lawyer reviews legal terms. Belgian companies follow GDPR, supervised by the Data Protection Authority, alongside national rules on electronic direct marketing and telephone prospecting. Business and consumer contacts are treated differently, and Belgium has a register where people can object to marketing calls. What applies to your outreach should be confirmed by your privacy advisor. My job is to make ERPNext record consent and preferences so your policy can be followed and shown.
Leads and contacts receive fields for the permission itself, its date, the channel and the language in which it was requested. Email campaigns respect unsubscribes across every list. Before a phone campaign to consumers or sole traders, a step checks numbers against the do-not-call register, done through whatever service your advisor approves, with the result stored on the contact. Retention rules remove leads that never progressed.
For access and erasure requests, I test the data request features in your Frappe version and write a short procedure for responding within the time your advisor sets. Access is limited so that only roles with a need can see personal contact details or export lists. If CRM activity data will be used to evaluate individual staff, I flag that HR may need to consult employee representatives. Belgian manufacturers and wholesalers often sell partly through independent agents and distributors, in Belgium and across Benelux and France. ERPNext has a sales partner record with a commission rate and territory, and a sales order or invoice can carry the partner who brought it in. Commission reports then follow from the data rather than a separate spreadsheet. I check your agent agreements, which may pay on invoice or on payment, and set up the reports to match, testing them against a past period.
Agents also raise an access question. If an agent should see their own customers and quotes, a limited user role or a portal view can be designed, with care taken over what personal and price data they see. If agents should not log in at all, a regular report sent to them may be simpler and safer.
Messaging is the other channel decision. ERPNext links email to customers and opportunities in the standard product. Before recommending one, I check who maintains it, whether it supports your version, whether it uses an official business messaging route with opt-in handling and where messages are stored. The built-in CRM fits Belgian companies whose sales revolve around quoting known customers, managing agents and converting orders quickly, especially where stock, prices and VAT must be right on every quote. A single system also means one place to fix customer data for Peppol, which is a real advantage when invoicing depends on it.
It is lighter for marketing-led growth. Multi-step nurture campaigns, lead scoring, detailed web and ad attribution, and a polished mobile app for field sales are areas where dedicated CRM tools go further. A standalone Frappe CRM app with a newer interface also exists; confirm with Frappe or your partner how it fits your ERPNext version. Where a parent group mandates a CRM, the task becomes integration rather than selection.
If a dedicated CRM is the answer, I write the data ownership table first: which system owns customers, contacts, quotes, prices and credit status, and how each flows. Only then is a connector specified.
