Should a South African business move to Zoho One?
A South African business should move to Zoho One only if it will use several connected apps, usually CRM, Books and Inventory or Desk, and has an owner to run them. Before signing, confirm user counting and billing currency with Zoho, ask where data is stored and how that sits with POPIA, plan for outages, and keep payroll with a provider that handles South African requirements.

South African owners often reach Zoho One from a desktop accounting package, a contact list in a spreadsheet and a support inbox shared by three people. The bundle promises to replace all of it under one login, and on paper that is attractive.
In practice the suite pays off when a business adopts a few apps properly and adds more only when someone needs them. It also has to cope with the realities here: power interruptions, budgets set in rand against software priced elsewhere, and personal information rules under POPIA.

Most South African businesses arrive at Zoho One with a specific pain: debtors are out of control, sales follow-up lives in a salesperson's head, or stock counts never match the books. The first wave should fix that pain and little else.
Mail and file storage can move early if the business is ready, since they touch everyone. Survey, social, sign and analytics apps wait until someone asks for them and takes ownership.
Leaving a desktop accounting package is the riskiest step, because it carries your history and your accountant's trust. My default suggestion is to move CRM first, then the ledger at a clean period end agreed with your accountant, rather than everything in one weekend. Software priced in foreign currency is a real budget risk for a South African company, because the rand moves. Zoho One has been sold under arrangements that count either every employee or only named users, and the terms change. Before you commit, get written answers to questions like these from Zoho or the partner handling your subscription:
Then compare the bundle honestly with buying two or three apps separately. A company whose warehouse and field staff never need a login may find separate subscriptions cheaper. A company where most staff touch CRM, Desk or People may find the opposite.

The Protection of Personal Information Act sets conditions for how South African organizations process personal information, and the Information Regulator oversees it. Moving staff records, customer contacts and support tickets into a cloud suite brings several POPIA questions to the table, including processing by an operator and transfers of information outside the country.

A cloud suite is only as available as the connection reaching it. South African businesses have lived with scheduled power cuts and unplanned outages, and a rollout plan should treat them as normal operating conditions rather than exceptions.

Ask Zoho or the licensing partner directly and get the answer in writing, including how renewal prices are set, because exchange rate swings can change your software budget noticeably.
