How do Belgian consultancies use Zoho Projects?
Belgian consultancies, public affairs firms, research organizations, agencies and engineering practices use Zoho Projects to plan work, record time in hours or person-days and bill clients accurately. The setup must reflect how framework contracts, funded projects and private clients are invoiced, keep timesheets in the form a funder or client may audit, and pass approved work to Zoho Books or another ledger for structured invoicing. I work on it remotely, acting only for the client.

A Brussels consultancy might work on a framework contract for a European institution, a research project funded through an EU program and several private engagements at the same time. Each has its own rules for recording time, approving deliverables and invoicing. Managing that in spreadsheets works until an auditor or client asks for evidence.
Zoho Projects can hold plans, time and client collaboration in one place, but the structure has to follow the contracts, not the other way around.
I work remotely with Belgian project-based organizations to design that structure, test billing and prepare teams to use it.
Every template, rule and report traces back to a contract type you actually hold.
Separate templates for framework orders, funded research projects, fixed-price assignments and retainers, each carrying the phases, deliverables and time rules that its contract sets out.
Time captured in hours and converted to person-days using the definition in each contract, so invoices and progress reports use the unit the client expects.
Locked, approved timesheets with work package references and short descriptions, kept in the form a funder or client contract may require when claims are reviewed.
Portal access for client contacts to follow milestones and approve deliverables, with messages and documents in French, Dutch, German or English as each relationship needs.
Approved person-days, expenses and milestones move into Zoho Books or another invoicing system, with order numbers and client references already in place for structured invoices.
Budget burn per contract and utilization per consultant, so partners can see where person-day budgets are running out well before the client or funder notices it.

Belgium, and Brussels in particular, has a dense population of project-based organizations: policy and public affairs consultancies, research and evaluation firms, communications agencies, engineering and architecture practices, IT service companies and associations delivering projects for members. Many of them work for public clients, European institutions or funded programs alongside private customers.
Zoho Projects suits them when the main need is planning, time recording, collaboration and billing, rather than full project accounting. The design questions are specific:
A firm with clear answers can configure Zoho Projects quickly. A firm without them should settle them first, because the software will otherwise reproduce existing confusion. The broader question of which Zoho apps to adopt around projects, such as CRM for opportunities and Books for invoicing, is covered on the Zoho consultant in Belgium page.
Organizations taking part in EU-funded research or innovation projects, or delivering under framework contracts with public bodies, are often required to keep time records that can be checked later. The exact rules depend on the grant or contract: some ask for monthly timesheets signed by the person and their supervisor, some accept declarations for people working full time on a single project, and some set specific definitions of a working day. Your grant manager, the contract text and the funder's guidance are the authority, not the software.
Zoho Projects can make compliance routine rather than a scramble:
Staff who split time between funded and commercial work log both in the same tool, which gives a complete picture and avoids double counting across projects. I agree the structure with your grant manager before configuration, and test it against a past claim so you can see whether it would have produced the evidence needed.
Belgian invoicing is moving toward structured electronic invoices exchanged over the Peppol network, in line with the wider EU direction. Which obligations apply to your organization, and when, is for your accountant or tax advisor to confirm. For a project system, the practical point is that Zoho Projects does not send invoices itself. It hands approved work to the invoicing system, and that system, or a connector behind it, handles the structured format.
With Zoho Books for Belgian companies, approved hours, person-days, expenses and milestones can flow into invoices directly. With another package, I design an export of approved, unbilled items carrying the references the invoice needs:
Public buyers and European institutions frequently reject invoices that lack the right order reference, so capturing it on the project at the start avoids weeks of payment delay later.
Before go-live I test a short set of cases: a person-day invoice under a framework order, a milestone on a fixed-price assignment, a cost claim on a funded project and a credit note. VAT treatment of each, including services to clients in other EU countries, is confirmed by your accountant.
Belgian project teams often work across languages. A consultancy might report to a European client in English, deliver workshops for a Walloon authority in French and coordinate with a Flemish partner in Dutch. Internal discussion may run in a mix of all three.
Zoho Projects allows each user to choose their interface language, which helps internally. Client-facing elements need more thought:
The engagement runs in English. Requirements, configuration notes and training material are prepared in English, and any translated portal text is reviewed by your own colleagues or a local partner before clients see it.
For organizations that also want to see delivery data next to finance and sales, see the reporting approach on the Zoho Analytics consultant in Belgium page.
Zoho Projects covers planning, tasks, time and collaboration well. It is not the right answer for every Belgian project business:
In those cases I will tell you plainly, even if it means Zoho Projects plays a smaller role or none. The ERP consultant in Belgium page and the project costing problem page explore the larger decision, and the Belgium overview sets out how the remote work is run; visits happen only when arranged in advance.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

It can record time against work packages, lock approved months and export monthly timesheets per person for signature. Whether that format meets your grant's rules depends on the grant agreement and funder guidance, which your grant manager confirms. I test the output against a past claim before rollout.
Yes. Time is recorded in hours and converted to person-days using the definition in each contract, which may differ between clients. The conversion is shown in reports and invoices so clients and auditors can follow it, and approved person-days flow to invoicing.
No. Zoho Projects passes approved work to Zoho Books or your accounting package, and structured Peppol invoicing depends on that system or a connector behind it. I check this route during design and confirm availability for your setup with Zoho or the provider.
Portal users choose their own interface language, while task names and documents appear as you wrote them. I set naming conventions per client language and prepare template text that a fluent colleague or a local partner reviews before any client sees it.
For site tasks, documents and snag lists, possibly. For estimates, subcontractor management, progress statements and the specific obligations around subcontracted work, construction software or an ERP is the better fit. Deciding which tasks go where comes first, before any configuration.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
