What does a Zoho People consultant do for a Swedish employer?
For a Swedish employer, a Zoho People consultant turns semester rules, collective agreement terms and absence types such as parental leave into leave policies, then defines the export that a Swedish payroll system needs. I also prepare the material HR may need for union consultation and limit who can see personal identity numbers. The work is remote and independent of Zoho, and the engagement runs in English.

Swedish HR teams rarely struggle with the idea of an HR system. They struggle with the detail: semester earned under one set of rules and topped up by a collective agreement, saved vacation days, parental leave taken in fragments, and absence that payroll must price correctly. A generic setup handles none of this well.
I work remotely with Swedish employers, international subsidiaries and growing companies to configure Zoho People around those rules. I start from the written policies and agreements, decide what Zoho People should own and what stays with payroll, and test balances before anyone sees them.

Swedish vacation law sets a floor, and a collective agreement or your own employment terms often build on it. Before configuring Zoho People, I ask HR to confirm in writing which rules apply to which group of staff, because the answer can differ between salaried employees, hourly staff and people hired abroad.
The questions that shape the setup are practical:
Public holidays go into a Swedish holiday calendar, with any extra days off that your policy grants added on top. Vacation pay itself is calculated by payroll, not by Zoho People, so the HR system only needs to deliver accurate days taken and remaining. I test every rule against named example employees chosen by HR before opening balances are loaded.
Swedish labor law gives unions a say in significant changes at work, and an employer bound by a collective agreement may need to inform or negotiate with the union before introducing a new way of recording attendance, time or absence. Whether your rollout triggers that duty, and in what form, is a question for your HR advisor or employer organization. I do not give that advice, but I can make the conversation easier.
What helps most is a short, factual description of the change. I prepare one that covers:
The same document doubles as input for your GDPR records, so the work is not wasted. If consultation leads to changes, such as dropping location check-in or narrowing manager access, it is far cheaper to adjust the design at this stage than after go-live. I schedule the consultation step into the plan rather than treating it as a formality at the end.
Sweden's parental leave system means employees may take leave in long blocks, part days or scattered single days, and may also stay home to care for a sick child. Sick leave starts with a period the employer pays, after which benefits from the social insurance agency take over. These absences affect pay, so they must reach payroll with the right dates and extent.
Zoho Payroll covers only some countries, so confirm with Zoho whether it is offered for Sweden; in practice I plan on payroll staying in a Swedish payroll system or with a payroll bureau. Zoho People then becomes the source of approved absence and time, and the design work sits in the handover:
Payroll then handles vacation pay, sick pay, deductions, employer contributions and the monthly reporting to the tax agency. Keeping that boundary clear is what stops two systems from disagreeing about the same employee. Your payroll provider and accountant own the calculation rules.
An HR system holds the most sensitive personal data a company has. In Sweden that includes the personal identity number, which is easy to misuse, along with absence history and, in some cases, notes from rehabilitation follow-up. GDPR applies in full, and the Swedish data protection authority publishes guidance that your privacy lead should read alongside the design.
The controls I build into Zoho People are specific:
Data location is the other question. Zoho keeps customer data in regional locations, one of them inside the EU, and which one applies was settled when your account was registered. Onboarding in a Swedish company involves the employment contract, tax and bank details for payroll, equipment and access from IT, and, for hires from outside the EU, a check that the right work permit is in place. Zoho People can run this as a checklist with tasks for HR, IT and the manager, so steps stop depending on memory. Permit rules themselves are for your HR advisor or migration specialist to confirm.
Many Swedish employers hold a yearly development talk between employee and manager, sometimes followed by a salary review under the agreement. I keep the performance cycle in Zoho People deliberately light: goals, a short form and a record that the talk took place. Salary decisions stay in payroll and HR files with tighter access.
Policies, leave descriptions and self-service texts usually need to exist in Swedish. The engagement runs in English; anything employees read in Swedish is drafted or proofread by Swedish speakers in your HR team or at a local partner before it is published.
Zoho People is not the right choice for every Swedish employer. If you need payroll, scheduling against complex agreement rules and HR in one tightly integrated Swedish product, a local HR and payroll suite may serve you better. I will say so.
