What does a Zoho People setup involve for a Singapore employer?
For a Singapore employer, a Zoho People setup usually covers work pass records and renewal reminders for foreign employees, careful handling of NRIC and FIN numbers under the PDPA, holiday calendars and policies for staff in Singapore and regional offices, and approved leave and attendance passed to the payroll system that calculates CPF. Employment law questions remain with a qualified HR or legal advisor.

Singapore employers often combine local staff, foreign employees on work passes and colleagues in regional offices who follow other countries' calendars and rules. HR in a lean head office needs one place to see all of them, without mixing up whose policy applies to whom or exposing identification numbers more widely than necessary.
I work remotely with Singapore companies, within Singapore business hours, to configure Zoho People around that structure. I turn the policies your HR team has decided into rules in the system. I am not an employment lawyer: questions about statutory entitlements, work pass eligibility or CPF obligations are for a qualified HR or legal advisor, or the relevant authority, to answer.
Each item reflects your mix of local, foreign and regional staff, and the payroll provider you already rely on.
Pass type, issue and expiry dates, and renewal status for foreign employees, with reminders to HR well ahead of expiry and history kept when passes are renewed or changed.
NRIC and FIN numbers collected only where needed, masked or restricted to HR, and excluded from manager views and exports that do not require them.
Separate locations for Singapore and each regional office, each with its own holiday calendar, work week and leave policy as your local advisors confirm them.
Checklists from signed offer to first day, including document collection, equipment and access, and a mirror process for leavers so access is removed and records are closed properly.
Monthly joiners, leavers, unpaid leave, overtime and pay changes delivered to your payroll software or provider, which calculates CPF and handles statutory submissions.
Review cycles, goals and probation confirmations set up simply enough that managers complete them, with HR able to see which reviews are overdue.

HR runs it confidently
Singapore issues different work passes for different kinds of foreign employees, administered by the Ministry of Manpower. Each pass has its own conditions and validity, and renewals or changes need to be planned well before expiry. In a lean HR team, these dates often sit in a spreadsheet or in the inbox of whoever handled the last application.
In Zoho People I record work passes as dated documents on the employee profile, which keeps a history of renewals and changes of pass type. Decisions I agree with HR:
Applications and eligibility decisions happen through official channels and are for your HR advisor or employment agency to handle. Zoho People only keeps the internal record current. I confirm which reminder and workflow features your plan includes during setup rather than assuming.
HR systems hold more personal data than almost any other system in a company. In Singapore, the Personal Data Protection Act applies, and the regulator has issued guidance that treats NRIC and similar identification numbers with particular caution. Your data protection officer or legal advisor should decide what you collect and why; I make sure the configuration reflects that decision.
My usual defaults for Singapore employers:
A system cannot make a company compliant by itself. Good configuration simply removes the easiest ways to get it wrong. If recruitment data flows from Zoho Recruit or another tool, I apply the same rules at that boundary through the integration design.
Plenty of Singapore firms also have staff elsewhere in Southeast Asia or beyond, either through subsidiaries or through employer-of-record arrangements. Each country has its own public holidays, working week, leave rules and payroll. HR in Singapore wants one view of headcount without forcing regional colleagues into Singapore's rules.
The structure I usually set up:
Payroll is usually local for each country, run by a provider or local software. Zoho People provides the inputs; it does not replace country payroll. The design follows the same entity thinking as the wider group setup on my Zoho consulting page for Singapore, and the regional view can be extended into Zoho Analytics for management reporting.
CPF contributions, payslips and statutory submissions are calculated and filed by payroll, whether that is software maintained for Singapore's rules or an outsourced provider. Zoho People does not calculate CPF. Zoho can tell you whether its payroll app is sold to Singapore organizations and what it covers; many employers keep a local payroll provider and connect it to Zoho People.
The monthly handoff I design with HR and payroll includes:
For the first live cycle, payroll runs from both the old method and the new inputs, and any difference is resolved before payslips go out. Opening leave balances are loaded and signed off per employee as part of a structured data migration, because an incorrect balance on day one damages trust in the new system more than any missing feature.
Statutory entitlements, CPF rates and eligibility questions are for your payroll provider, HR advisor or the authorities to confirm; I record the source of each rule I configure.
Zoho People is a practical HR system for many Singapore SMEs and regional offices. Here is when I point clients to other or extra tools:
My advice is independent; I do not resell software. If HR is one part of a broader systems review, an evaluation can include it. The Singapore hub and my ERP consulting page for Singapore explain how I work with Singapore businesses remotely.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

Yes. Work passes are stored as dated documents on the employee profile, with reminders to HR and the manager before expiry and a status while a renewal is in progress. Applications go through official channels. Reminder options differ by Zoho edition, so I verify yours while configuring.
No. CPF contributions and statutory submissions are handled by payroll software or a payroll provider. Zoho People supplies the inputs: joiners, leavers, pay changes, unpaid leave and overtime. If Zoho's own payroll is offered and suitable for your Singapore organization, those inputs can flow into it.
Only where there is a clear need, such as payroll, and with access restricted to HR. I mask or hide the field elsewhere, review reports and exports, and agree retention with your data protection officer, who decides the policy under the PDPA. If a field is not needed, I do not create it.
Usually yes, with a location per country carrying its own holiday calendar, work week and leave policy, and the employing entity recorded on every profile. Local rules come from advisors in each country. Payroll normally stays local, fed by Zoho People data.
No. Statutory leave, notice, work pass eligibility and CPF questions should go to a qualified HR or legal advisor or the relevant authority. Once they have answered, I set the system to match and keep a short reference for each rule, so policy changes can be traced.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
