What should a Portuguese company check before running sales in ERPNext CRM?
ERPNext CRM can carry a Portuguese pipeline from first contact to accepted quotation, with stock, prices and customer history together. Two checks come first: whether quotations or pro formas fall under the invoicing software rules, which your accountant decides, and how customer records sync with the approved program issuing invoices. I design both, along with consent handling, working remotely as an independent consultant.

Portuguese exporters, distributors and manufacturers sell to buyers at home and abroad, often after samples, trade fairs and several rounds of pricing. Keeping that pipeline in ERPNext means salespeople quote from real stock, price lists and customer balances, and an accepted quotation becomes an order without retyping.
The Portuguese twist is that invoicing documents, and possibly some documents issued before the invoice, may need to come from approved software. So the CRM I design ends its job at the right document, hand data cleanly to the program that issues regulated documents, and confirm every open question with your accountant and with Frappe or the partner.
The work below covers selling in ERPNext; the general CRM comparison is on the global ERPNext CRM page.
A list of every document sales produces, from quotation to pro forma and order confirmation, with your accountant's view on which ones the invoicing software rules may cover.
Stages, qualification rules and lost reasons that reflect how Portuguese teams sell to foreign buyers and domestic distributors, kept short enough for salespeople to maintain.
One owner for customer records, NIF and EU VAT numbers, and a tested sync with the approved invoicing program, so nobody types the same customer into two systems.
Price lists by market and currency, delivery terms on the quotation, and English, Portuguese or other language templates with local text supplied by your own staff or a translator.
Sample requests logged against opportunities, with the goods movement handled in line with the transport document rules your accountant confirms, and follow-up dates set automatically.
Fields, import rules and unsubscribe handling for marketing consent, set with your data protection lead and applied to contacts from fairs, web forms and every email campaign.

Portuguese rules on invoicing software reach beyond the invoice itself. Depending on how a document is used, quotations, pro formas, order confirmations and similar documents may also be expected to come from approved software, with series and identification codes. Where the line falls for your business must be settled by your accountant, and it may depend on what the document says, who receives it and whether it is used to request payment.
ERPNext produces quotations and sales orders as standard. Whether those documents, or an app built on ERPNext, may be used for anything the rules cover must be confirmed in writing by the app publisher and reviewed by your accountant; I do not assume it. Practical designs I work through:
The aim is that salespeople never have to decide, case by case, which system to use. The broader split between ERPNext and the invoicing program is explained on ERPNext in Portugal.
A Portuguese exporter of furniture, textiles, wine, cork or industrial parts may deal with buyers in Spain, France, Germany, the United Kingdom and further afield, each with its own currency, price expectations and language. The CRM inside ERPNext handles the commercial basics well: leads from fairs, web forms and agents; opportunities with expected value and stage; quotations in the buyer's currency from market price lists.
What I design with the sales director:
Sample shipments are goods movements, so the transport document question your accountant answers for production also applies here. I connect the sample flow to the same rule rather than inventing a separate one. See multi-currency ERP for the general method.
In a split design, a customer may be created by a salesperson in ERPNext and invoiced weeks later by the approved Portuguese program. If the two systems hold different names, tax numbers or addresses, invoices go out wrong and the SAF-T data disagrees with what sales sees. Customer data needs one owner.
Rules worth starting from, adjusted to your setup:
Before go-live, a staging run follows one record from lead, through customer and quotation, to the invoice the program issues. The ledger implications are covered on ERPNext Accounting in Portugal, and the integration method on my system integration page.
Portuguese outreach is governed by GDPR, national data protection law and specific rules on unsolicited electronic communications, with the national data protection authority overseeing them. Whether you need prior consent for a given email or message, or can rely on an existing customer relationship, depends on the recipient and the channel; your data protection lead or lawyer makes that call. My role is to make ERPNext capture and enforce the decision.
The setup I propose:
Exporters also hold contacts from buyers in other countries, where local rules may differ; your lawyer decides whether one policy covers all markets. Consent wording on web forms and emails, in Portuguese and other languages, is drafted by your team and approved by your lawyer. The Portugal CRM consultant page looks at CRM governance more broadly.
Messaging apps are part of everyday selling in Portugal and with buyers abroad. ERPNext does not provide WhatsApp business messaging in the core product. Connectors from the community and from vendors exist, built on the official business messaging interfaces; ask Frappe or your partner who keeps a given connector alive, whether your release supports it, and what the messaging provider allows and bills. Consent for messaging must be settled too.
Frappe CRM is another option: its own app, maintained by the Frappe team, with a sales-centered screen design. Its current features and how it links to ERPNext should be confirmed for your version before you choose it.
ERPNext CRM is the wrong choice when:
Then a specialist CRM feeding ERPNext, along the lines of Zoho CRM in Portugal, is likely the better route. I receive no commission from any vendor and hold no Frappe partnership, so the recommendation follows your requirements. Product details are on ERPNext CRM, and the work is delivered remotely.
Tell me about your business and current systems. I’ll suggest the most sensible first step.

Not sure which ERP you need?
Share your business requirements with me and I will help you understand the right process, architecture and platform before implementation.
Possibly, but check first. Depending on content and use, quotations and pro formas may fall under the invoicing software rules. Your accountant decides where the line sits for your business, and any claim about an ERPNext app's status must come in writing from its publisher. I then design the CRM around that answer.
By giving customer data one owner and syncing it through a tested integration. Usually ERPNext creates customers and the invoicing program receives them, with NIF and addresses validated at conversion. Failed syncs land in a visible list that one named person clears, so mismatches are fixed before an invoice goes out.
Yes. ERPNext supports quotations in foreign currencies, price lists per market, sales partners for agents abroad and print templates per language. I design these with your sales director and test them against the pricing spreadsheets in use today, so the team trusts the numbers before switching over.
The standard product does not offer it, to the best of my knowledge. Connectors from the community and vendors exist on the official business messaging interfaces. I check maintenance status, compatibility with your version and provider terms with Frappe or the partner, and confirm messaging consent with your privacy lead first.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
