Each group follows different rules for leave, working time and documents, yet managers want one list of who works where.

The first design question for Zoho People in Poland is not which module to switch on. It is how to represent people who are engaged in legally different ways. An employee on an employment contract accrues annual leave, follows working time rules and has a personnel file. Someone on a mandate contract or a specific-task contract does not have the same leave entitlement. A self-employed contractor is a separate business that invoices you.
If all three groups share one form and one leave policy, managers start approving holiday for contractors and HR loses track of which documents belong to whom. I separate them deliberately:
Whether a particular engagement is correctly classified is a legal question for your advisor, not a configuration choice. My role is to make sure the system mirrors the classification you have decided, and that a change from one type to another is recorded rather than overwritten.
Polish leave rules contain details that a generic leave template misses. Annual leave entitlement depends on length of service, which can include certain periods of education, so opening balances need careful calculation per person. Leave on demand is taken from the annual allowance but follows its own request route. Occasional leave for family events and childcare days are separate types with their own evidence.
I configure each type from your HR advisor's written guidance and test it against real employee histories before go-live. The public holiday calendar covers the national holidays, and I ask your advisor how your business grants a replacement day when a holiday falls on a Saturday, so the calendar and balances reflect it.
Working time is the other area to plan early. Plants and warehouses often use shift systems with a settlement period, while office teams work flexible hours or partly from home under a remote work policy. Zoho People can capture attendance, shifts and remote work requests, but overtime and night work supplements are calculated in payroll. The output I design is clean attendance data per employee and period, approved by managers, in the format your payroll office expects.
Polish payroll involves social insurance contributions, health insurance, personal income tax advances, employer reporting and frequent rule changes. That work belongs with a payroll office, an accounting firm or Polish payroll software that is kept current for those obligations. Before planning anything else, ask Zoho or a partner whether Zoho Payroll is available for Polish employers; I do not assume it is.
What I design is the boundary between Zoho People and payroll:
Polish names with diacritics, PESEL numbers and bank account details must survive every export intact, so I test the file with real characters early. Employee data in Poland falls under GDPR and Polish labor law rules on what an employer may collect and keep. Your data protection officer or legal counsel decides what is necessary; I configure Zoho People so that decision is enforced:
Whether Zoho People can form part of the official personnel file, or should hold an operational copy beside it, is a question for your HR advisor, because the rules on electronic personnel records are specific.
Introducing a new HR system may also touch your work regulations, remuneration rules or monitoring arrangements, which in some companies involve trade unions or employee representatives.
