How does a Zoho Projects consultant help an Italian service firm?
In Italy, a Zoho Projects consultant structures delivery for engineering studios, agencies, software houses and installers: phases tied to progress billing stages, timesheets that support grant or research credit evidence, tender codes carried through to invoicing, and client portals. I work remotely and independently, and the electronic invoice stays with Zoho Books or the accounting package your commercialista approves.

An Italian engineering studio, a digital agency or a plant installer tends to run projects in three places at once: a Gantt file on the project manager's laptop, timesheets in a spreadsheet and billing stages in the administration office's head. Margins disappear in the gaps between them.
Zoho Projects can hold the plan, the hours and the milestone that triggers each invoice in one place. Getting there means deciding how phases mirror the contract, which hours are billable and who confirms that a stage is complete.
I make those decisions with you remotely, as an independent consultant, and keep the fiscal invoice in the system your commercialista already trusts.
The work starts from your contracts and the way your administration office invoices today, then moves into project templates.
Project templates whose phases match how your offers are structured, whether design stages for a studio, sprints for a software house or installation steps for a plant contractor.
Milestones for each stato avanzamento lavori or payment stage, with a completion check by the project manager that tells administration an invoice can be raised.
Daily or weekly hour logging by task and activity type, approval by project leads and a closed period, so hours used for grants or client reports cannot drift later.
Tender and project codes such as CIG and CUP stored on the project, so they travel to invoices and payment records when the customer is a public body.
Clients see agreed milestones, documents and change requests in a portal, with approvals recorded, instead of scattered email threads and PEC messages.
Approved milestones or hours passed to Zoho Books or your Italian accounting package, where the electronic invoice is issued and sent through the exchange system.
Offers, contracts and current billing
Templates proven on live jobs
One team, then the firm
Italian project contracts rarely bill by the hour alone. An engineering studio invoices at preliminary, final and executive design stages. An installer bills against a stato avanzamento lavori agreed with the client or the site director. A software house may combine a fixed fee per release with a monthly hour bank for support. Each arrangement needs a different shape in Zoho Projects.
I build templates around the contract, not the other way around:
The percentage or amount billed at each stage is a commercial and accounting decision. The system simply makes the stage visible and timely, so administration is not waiting for a phone call to know that a stage closed.
Plenty of Italian firms log hours for more than internal control. Some projects are co-financed by regional or European funds. Others feed a research and development tax credit claim. Clients on time and materials contracts expect a monthly report they can check. In each case someone may later ask who worked on what, on which day, and why.
Zoho Projects timesheets can support that evidence if the rules are set before the first hour is logged:
What evidence a grant body or the tax authority accepts, and how eligible costs are calculated, is for your grant advisor and commercialista to define. I configure the timesheet to match their checklist and test it with a sample report before rollout. The Zoho People in Italy page covers attendance, which is a separate record from project hours.
Engineering firms, IT integrators and facility contractors in Italy often work for municipalities, regions, health authorities or universities. Those contracts come with identifiers that must appear on invoices and payments, such as the tender code and, for funded public projects, the project code. If the project record does not hold them, administration ends up searching old email threads when the invoice is due.
In Zoho Projects I add the fields that public work needs and make them mandatory when the client is a public body:
The electronic invoice itself is issued by Zoho Books in Italy or the accounting package already connected to the exchange system, depending on what your commercialista has approved. What the Italian edition can do here is a point to confirm with Zoho or the partner. Which codes are required for a given contract and how split payment or other public sector rules apply is for your advisor to confirm.
Italian project firms are often spread across a few cities, with an architect in Milan, structural engineers in Bologna and site staff wherever the work is. Planning who is free next month by asking around does not scale once the firm grows beyond a single studio.
Zoho Projects offers workload and resource views that show allocation by person and week. I make them useful by agreeing a few rules:
Client portals are the other half. Approvals in Italy still tend to travel by email or PEC. A portal where they see milestones, download documents and approve changes creates a cleaner record, and you decide exactly which tasks and files each client can see. I test the portal from the client's side before inviting anyone, with labels and messages written in Italian by your team.
A won deal in Zoho CRM can create a project from the right template, and approved milestones or hours can create draft invoices in Zoho Books. If your ledger lives in an Italian accounting package, I define a simpler export or integration, with clear ownership of customer codes and project references on both sides.
Zoho Projects is not the answer for every Italian project business:
In those cases I say so before any subscription is bought, and help you compare options through ERP evaluation. See also Zoho in Italy, my ERP consulting for Italian companies, with country context on the Italy page. The engagement runs in English and is delivered remotely; on-site visits are possible by arrangement.

No. Zoho Projects tracks milestones and hours. The electronic invoice is issued by Zoho Books or your Italian accounting package, whichever route your commercialista has approved and confirmed with Zoho or the partner. I design the handoff so a completed milestone or an approved batch of hours reaches the invoicing system with the right client, project and tender references.
They can provide structured evidence: hours by person, task, activity and date, approved and locked. Whether that evidence is sufficient, and how eligible costs are calculated, depends on the specific program and is for your grant advisor or commercialista to confirm. I configure the timesheets to match the checklist they give me.
Often, yes. Design stages, deliverables, hours by discipline and client approvals map well to it. It suits studios less when they also need detailed cost accounting across purchases and subcontractors, where an ERP with job costing may be the better core. I assess that during discovery.
Yes. Zoho Projects lets you invite clients to see selected tasks, milestones and documents. I set permissions so each client sees only their own project and the items you choose, and record approvals and change requests there, which gives a clearer trail than email chains or PEC messages.
Yes. Workshops, configuration reviews and training run online in English, with written notes after each session. Italian labels, templates and portal messages come from native speakers in your company, who draft or proofread them. On-site visits are possible by arrangement when a workshop benefits from it.
Every business is different. Share where you are today and what you want to fix, and I’ll tell you honestly whether and how I can help.
