How does Odoo Projects work for an Irish service business?

Odoo Projects links what an Irish firm sells, the hours its people log and the invoices it raises. Fixed fee, milestone and time and materials billing are set on service products, timesheets feed invoices and project margins, and invoices pass to Odoo Accounting under the Irish localization. I design this remotely for consultancies, engineering firms and contractors, and confirm Enterprise apps such as Field Service with Odoo or your partner.

Odoo Projects, used with Sales, Timesheets and Accounting, can link those steps so a confirmed order creates the project, people log time against it and invoices follow the agreed billing rule. Getting there depends on decisions about products, timesheet policy and analytic structure.

Billing models Irish service firms actually use

Irish consultancies and engineering practices rarely sell on one basis. A design firm may quote a fixed fee for the concept stage, bill detailed design by milestone and charge site supervision on hourly rates. An IT services company may combine a fixed implementation fee, a block of prepaid support hours and a monthly managed service. Each of those needs a separate service product in Odoo, because the product decides how invoicing behaves.

Odoo supports invoicing on ordered quantity for fixed fees, on delivered timesheet hours for time and materials, and on milestones marked as reached. Prepaid hours are sold up front and consumed by timesheets. Depending on the product, confirming the order either opens a fresh project, adds a task to one already running, or copies a template project. I map every contract type you use to a product and test each one through to a draft invoice before go-live.

Retainers and recurring managed services are where the edition question appears. Recurring billing has usually meant the Subscriptions app, sold with Enterprise; ask Odoo or the partner to confirm that for your release before relying on it. Timesheets, cost rates and margins people trust

Project margins in Odoo are only as good as the timesheets behind them. In Irish firms, the usual problem is not the software but the policy: nobody agreed whether to log against tasks or projects, whether pre-sales time counts, or when the cut-off for the monthly invoice run falls. I write that policy with your delivery leads and keep it to a page.

Cost rates come next. Each employee needs an hourly cost so timesheets carry labor cost into the project. The rate is usually a loaded figure that your finance team calculates; Odoo does not work it out. Contractors who invoice you for their time are handled differently, through vendor bills linked to the project, so their cost appears without being counted twice.

Behind every Odoo project sits an analytic account that gathers its income, timesheet cost, expenses and supplier bills. I design analytic plans so projects can also be grouped by department or service line, aligned with how Odoo Accounting in Ireland is set up. Timesheet validation and the grid entry view have tended to be Enterprise features, so I confirm what your edition provides before writing approval steps into the policy. A short monthly project review, run from Odoo data, keeps the numbers honest.

Field service, installers and work on site

Many Irish project businesses are not office-only. Electrical and mechanical contractors, security and fire system installers, equipment suppliers who commission machinery and facilities service providers all send people to sites. For them the question is whether Odoo Field Service fits the work.

Field Service in Odoo builds on projects and tasks, adding scheduling by technician, worksheets completed on site, customer signatures and parts used, with time and materials flowing into invoices. It has shipped as an Enterprise app with scope that differs by release, so the current coverage should be confirmed with Odoo or the partner, and I trial it on one of your real job types, from booking to invoice.

Parts used on site connect to Odoo Inventory in Ireland, which matters if engineers carry van stock. Each van can be a stock location, and parts consumed on a job reduce it. I check whether that level of tracking is worth the effort for your business, because it only works when engineers record usage consistently.

If your work is planned maintenance under long contracts, with assets, service levels and recurring visits, Odoo may need careful design or a specialist tool. The field service page covers that choice, and facility management describes the industry view.

Irish contractors, subcontractor tax and invoicing rules

Construction and installation businesses in Ireland face requirements that a general project tool does not handle on its own. Payments to subcontractors in construction and certain other sectors may fall under a Revenue scheme for relevant contracts, with notifications and deductions made through Revenue's online systems. Some construction services are also subject to a VAT reverse charge between contractors. Your accountant or tax advisor tells you whether either applies and how.

Odoo does not, as far as I can confirm, include a standard Irish module that manages subcontractor tax notifications end to end. I check what your version and the Irish localization provide with Odoo or your partner, and if the gap is real, design a procedure: which data Odoo holds on the subcontract and bill, what is entered in Revenue's system and how the deduction is recorded in the ledger.

Retention and progress claims against a bill of quantities raise a similar point. Odoo can bill milestones and percentages, but formal valuations, retention release and payment certificates usually need customization or an add-on. Edition, migration and when Odoo Projects is the wrong tool

The Project app is in Odoo Community, with tasks, stages, kanban views and basic timesheets. Several apps that Irish service firms value most, such as Field Service, Planning, Helpdesk, Subscriptions, timesheet validation and Gantt views, have tended to be Enterprise. A Community setup can still work for simple time and materials billing, but I write down exactly what you would give up, confirmed for your version with Odoo or your partner.

Hosting matters too. Odoo Online is simplest but restricts custom modules, so any procedure that needs code, such as a custom subcontractor tax report, pushes you toward Odoo.sh or self-hosting.

Migration should be selective. I recommend invoicing or closing completed work in the old system, then moving only active projects, open tasks and agreed balances of unbilled work. Historic timesheets rarely need full detail; a summary per open project is usually enough.

Odoo Projects is not the best tool for every Irish firm. Practices that only need task tracking with no billing link may be better on a lighter tool, and large construction contractors with valuations and retention at the core may need a construction ERP.
