Can Zoho Inventory run stock for a German trading company?
Zoho Inventory can run stock for a German wholesaler, importer or online seller that needs warehouses, delivery notes, batch or serial tracking and marketplace orders, without production planning or heavy warehouse automation. A Zoho Inventory consultant in Germany designs the stocktake, landed cost on imports and carrier links, while VAT, e-invoices and packaging registration stay outside Inventory. I work remotely and confirm features with Zoho.

German customers expect a delivery note with every shipment, invoices that match it, and stock figures that hold up when the Steuerberater asks for the year-end valuation. Online sellers add marketplaces and several parcel carriers, each with their own labels and tracking.
I help you decide whether Zoho Inventory is enough for that, and if it is, design the item master, warehouses, batch and serial rules, import costing, channel links and the stocktake. If the business already needs an ERP, I say so before you invest in configuration.
My work is remote and runs in English. The German wording on delivery notes, packing slips, order confirmations and customer emails comes from your own staff, and I test every printed document before it goes live.
Each service keeps the stock record reliable for operations and for the people who prepare the annual accounts.
A look at order volume, warehouse operations, channels and costing needs to judge whether Zoho Inventory is sufficient, with a written recommendation and the reasoning behind it.
Article numbers, variants, purchase and sales units, EAN barcodes and categories agreed and cleaned, so every warehouse, marketplace and invoice refers to the same item.
The sequence from order confirmation to picking, delivery note, shipment and invoice, with each document's German wording supplied by your team and checked on print.
Batch tracking with expiry dates or serial numbers per item group, captured at goods receipt and dispatch, with a trace report for recalls and warranty claims.
Stock and order sync with your webshop and marketplaces, and labels with your parcel carriers, after confirming with Zoho or a connector provider what is supported.
An annual or rolling stocktake design agreed with your Steuerberater, with count lists, recount rules, variance approval and a valuation report that finance can tie to the annual accounts.
Every movement of goods
Inventory built to the map
Opening stock that matches
A German customer receiving goods expects a delivery note, the Lieferschein, in the parcel or with the pallet, and an invoice that matches what was delivered. Partial deliveries and back orders must be visible on both. In Zoho Inventory I design the document flow so a sales order produces picks and packages, a delivery note per shipment and an invoice that references it. German wording on each document comes from your team.
Warehouses follow the physical setup:
The stocktake, the Inventur, deserves its own plan. Whether you count once at year end or use a permanent or sample-based method is a decision for your Steuerberater. I build the procedure around that decision: movement freeze or control, count lists per warehouse and area, recount rules for large variances, approval of adjustments with a reason and a valuation report that ties to the accounts. A trial count in one area first shows whether the procedure works.
The general strengths and limits are on my Zoho Inventory page.
German distributors of food, cosmetics, chemicals or medical supplies often need batch numbers with expiry dates, and sellers of equipment or electronics need serial numbers for warranty and service. Zoho Inventory supports both on the items you choose, and the design question is where to capture them without slowing the warehouse.
Decisions I make with the warehouse lead:
Traceability and labeling rules vary from one product category to another and are outside my remit. Your quality manager or regulatory advisor defines the data to capture; the system design makes sure it is captured at the right step.
When a serialized item comes back for repair or under warranty, agents in Zoho Desk for Germany can see the purchase and shipment details if the two apps are linked.
German importers commonly bring goods from Asia through North Sea ports or by rail, using a freight forwarder and a customs broker. The cost of an item then includes freight, insurance, customs duties and handling charges that arrive on separate invoices, sometimes long after the goods.
For landed cost in Zoho Inventory I settle with finance:
Purchases in dollars or other currencies add exchange differences on payment, which finance agrees at the same time.
Zoho Inventory's landed cost features are simpler than a mid-market ERP's. I test them with a real past shipment, including a late invoice, before go-live. If containers are split across customers, goods are sold before customs clearance or several currencies are hedged, the limits appear quickly, and that is a signal to look at an ERP.
German online sellers often combine their own shop with large marketplaces such as Amazon, eBay or Otto, and ship through several parcel carriers to suit size, speed and price. Some of these channels and carriers connect to Zoho Inventory directly; others need a connector, and the supported set varies by region and over time.
Before any channel is designed in, I confirm with Zoho or the connector provider:
Where a fulfilment provider runs the warehouse, its system holds the physical stock. I design the exchange of orders, receipts and stock reports, plus a routine reconciliation so differences are found weekly rather than at the stocktake.
The item master decides how well this works: one article number per sellable item, correct EAN barcodes and consistent units across every listing. Integration options are described on the system integration page for Germany.
Several German obligations touch selling goods but sit outside Zoho Inventory:
Zoho Inventory stops being enough when production planning is needed, when warehouse volume calls for directed putaway and wave picking, when several entities share stock, or when costing must go deeper than the app allows. Then Odoo in Germany or another ERP deserves a comparison; my ERP consultant page for Germany and the Zoho page for Germany explain the wider choices.

Zoho Inventory creates packages and shipment documents from sales orders, and templates can carry German wording. I design the document flow from order to delivery note to invoice, and your team writes and checks the German texts. I test the printed result before go-live.
Some marketplaces and carriers are supported directly, others through connectors or shipping aggregators, and the list changes. I confirm with Zoho or the connector provider which of your channels and carriers work in Germany before designing the process around them.
Your Steuerberater decides the stocktake method. I design the procedure in Zoho Inventory to match: count lists by warehouse, controlled movements, recount rules, approved adjustments and a valuation report that ties to the accounts. A trial count first tests the routine.
When it manufactures beyond simple kits, needs warehouse automation such as directed putaway or wave picking, shares stock across several entities or needs deeper costing. I compare Zoho Inventory with ERP options against your real processes and give a written recommendation.
