Most Australian businesses using Zoho People employ a mix of casual, part-time and full-time staff, sometimes in the same team. Each type follows different leave and scheduling rules, and casual employees have their own conversion and information requirements. Getting employment type right in the record is the foundation everything else rests on.
I structure the employee record so that:
Accrual is the question that needs a firm decision. In many Australian setups, payroll calculates leave accrual because it already applies award rules and reports through Single Touch Payroll. If so, Zoho People handles requests and approvals and shows balances imported from payroll, rather than running its own competing accrual. Which approach suits you depends on your payroll system, and I test it before go-live.
Australian employers often operate across several states, which means different public holidays, different time zones and, between some states, different daylight saving arrangements. Construction and some manufacturing businesses also work with rostered days off under their agreements, and hospitality and care teams depend on weekly rosters that change constantly.
In Zoho People I set up:
Penalty rates, overtime and allowances are award matters calculated in payroll, as your advisor confirms. Zoho People supplies approved hours tagged with the information payroll needs, such as shift type or site, so the payroll calculation starts from reliable data.
Where hours are billed to clients or costed to jobs, the same approved time can flow to Zoho Projects.
An Australian new starter typically completes a TFN declaration and a superannuation standard choice form, receives the Fair Work Information Statement and, for casual roles, the casual employment information statement. Employers also check visa work entitlements for non-citizens, often through the government's online visa check, and many industries require licenses, police checks or working with children checks. Your HR advisor should confirm what applies to each role.
Zoho People coordinates that bundle:
Payroll stays on the other side of the line. Pay, tax withholding, super and Single Touch Payroll reporting run in your payroll system. Check whether Zoho's payroll product is available for Australian accounts if you want to consider it; most businesses I work with keep a dedicated Australian payroll product. Employee records in Australia hold tax file numbers, bank details, visa information, medical certificates and sometimes sensitive leave records. How the Privacy Act applies to employee records is nuanced, including an exemption for certain employee records held by private sector employers, and its scope has been under review. Separate rules govern how tax file numbers are handled. Your legal advisor should confirm your position; my design assumes careful handling regardless.
