These businesses run in reverse compared with a normal manufacturer. Stock arrives with no purchase price and an unknown condition, each item needs testing, grading and sometimes data erasure, parts are taken from one unit to fix another, and the same model can sell at several prices. ERPNext handles much of this well, provided the flows are designed deliberately.
As an independent ERPNext consultant working remotely, with no hosting or development business to sell, I will also tell you when a simpler tool would serve you better.

The universities add a large student population whose arrivals and departures each year release furniture, bikes and electronics that someone has to collect, sort and pass on.
The businesses in this space vary widely: commercial firms that refurbish laptops and phones from corporate refresh programs, social enterprises that collect and resell furniture, bike workshops that rebuild donated cycles, and repair specialists for appliances and electronics. What they share is an operating model that standard ERP templates do not expect, and margins that leave little room for expensive per-user licensing.
ERPNext appeals for practical and principled reasons. Its open-source license carries no per-user charge, although hosting, support and any development still cost money. Its data model, built on the Frappe framework, can be extended with custom records without altering the core code. Most ERPs assume stock arrives on a purchase order at a known cost. Reuse businesses receive goods in other ways: donations from the public, collections from offices clearing old equipment, trade-ins against new sales, buy-backs priced after testing, and mixed lots bought by weight. Often the item has no reliable model number until someone looks at it.
In ERPNext, intake can be recorded as a material receipt into an untested location, with each unit given a serial number at the bench rather than at the door. Valuation needs a decision with your accountant: items received free may be held at zero or a nominal value, and ERPNext accepts a zero valuation rate when it is set deliberately on the entry. Purchased lots can be valued at cost and spread across the units they produce. Getting this right matters, because it decides the margin every later report shows.
Collections from businesses usually come with paperwork the client expects back: an asset list, a collection note and later an account of what happened to each item. I design the intake record to capture the client's asset tags and references, so the final report comes from the system instead of being reassembled from emails. Where waste rules apply to what you collect, your advisor confirms which documents you must keep and I make sure the system holds them.
Every unit passes across a bench. For a laptop that means functional tests, a battery check, a cosmetic grade and data erasure. For a bike it means a safety check and a list of parts replaced. For furniture it may be a quick inspection and a photograph. Grades work best as item variants or attributes, so a single model can exist as several sellable grades with their own prices while stock reports still roll up to the model. The grade then decides the channel: top grades to the web store, middle grades to the shop, lower grades to trade buyers or to parts.
Data erasure needs special care. Organizations handing over equipment generally want proof that each storage device was wiped or destroyed. I specify a custom record, linked to the serial number, that captures the device, the erasure method agreed with the client, the result, the technician and when it was done, and produces a certificate for each collection. Refurbishment runs in both directions. Some units are stripped so their screens, memory, wheels or drawers can be used elsewhere; others are rebuilt from those parts. In ERPNext, a repack-style stock entry can consume a whole unit and receive its usable parts into stock, and a work order with a simple bill of materials can rebuild a unit from parts and labor. Costing both directions shows which refurbishments earn their bench time and which models are better sold as parts.
Resale usually happens through several channels at once: a reuse shop with a till, an online store, marketplace listings and trade sales of bulk lots. ERPNext's point of sale covers the shop, and the web store can run on Frappe's webshop app or an external platform connected through an integration. Marketplaces generally need a connector or middleware service, which I judge on maintenance effort and running cost rather than on the demo. The rule that matters is that each serial number can be sold once, whichever channel reaches it first.
Returns and warranty claims close the loop. A refurbished item coming back needs a fault record, a decision to repair, regrade or scrap, and a link to the original sale. I design that flow with your bench team so it is quick enough to use on a busy afternoon, not just in a quiet demo.
Corporate clients and funders increasingly ask what happened to the goods: how many items were reused, refurbished, recycled or disposed of, and what weight that represents. Some need the figures for their own sustainability reporting. If item weights and outcomes are recorded at intake and at the end of each item's journey, ERPNext reports can produce these by client and period instead of a spreadsheet exercise each quarter. How you describe the results publicly, and any environmental claims built on them, should be checked with your advisor.
Hosting is the next decision. Frappe Cloud offers managed hosting, while a local provider or your own cloud account gives more control, and in every case backups, upgrades and security need an owner. Smaller social enterprises rarely have technical staff of their own, so a support arrangement with an ERPNext developer or provider should be agreed before go-live rather than after the first problem.

That gives you the history of a single unit when a customer returns it or a client asks what happened to their equipment. The design work lies in agreeing which fields matter and keeping the bench process quick.
That is a decision for your accountant. Options include holding donated items at zero, at a nominal value or at an estimated value, and the choice affects the margin every report shows.
