How should a Portuguese company use Zoho One?
A Portuguese company can run sales, service, projects and people processes on Zoho One while invoices, receipts and transport documents come from a program holding Portuguese tax authority certification, unless Zoho confirms in writing that the exact Zoho product and version qualifies. I plan which apps go first, the link to the invoicing program, licensing and hosting questions, and adoption, remotely and independently.

Technology companies, nearshore service centers, consultancies and growing exporters in Portugal often want one environment for customers, projects, support and people. Zoho One covers much of that in a single subscription, which makes it attractive to a company with staff in Lisbon or Porto serving clients across Europe.
There is one firm boundary. As a rule, a Portuguese invoice must be produced by a program that the Autoridade Tributária has approved, and that approval names one product and one version. Until Zoho confirms in writing that the Zoho app you would use qualifies, no Zoho app should issue them. The rest of the suite is designed around that rule.

Zoho One suits Portuguese organizations whose work is mostly about clients, projects and people rather than stock and production. Typical profiles include software and IT service firms, nearshore centers delivering support or development to foreign clients, engineering and design consultancies, and exporters selling to trade buyers with a small sales team.
For these companies a common adoption order is:
Apps that overlap with regulated invoicing, or with payroll handled by a local provider, stay off unless a written confirmation and your accountant's agreement say otherwise. The Zoho One page explains the bundle in general.
Under Portuguese rules, the program that produces invoices, credit notes, receipts and some other documents generally needs tax authority approval, granted to a specific program and version. Documents carry an ATCUD code and a QR code, series are registered, and a SAF-T file supports tax reporting. Goods in transit may also need transport documents communicated to the tax authority. Your contabilista certificado confirms what applies to your company.
Zoho One includes Zoho Books and Zoho Inventory, so it is easy to switch invoicing on by accident. My rule is that no Zoho app issues Portuguese invoices, receipts or transport documents until Zoho has put in writing that the specific product, edition and version you will run holds that status for those documents, and your accountant accepts the answer. Some Portuguese entities exist to serve a foreign parent or its clients: a development hub, a customer support center, a finance or HR shared service. Their costs are often recharged to the group under an arrangement your tax advisor designs. Zoho One can produce the operational evidence behind those recharges, if the data is structured from the start.
The recharge method, margins and documentation required by transfer pricing rules are for your advisors. My job is that the data they rely on is complete and consistent. Portuguese employers also keep working time records under labor law; whether Zoho People attendance meets the requirements your labor advisor applies is for them to confirm before it becomes the official record.

Data protection is often a client question as well as a legal one. Foreign clients may ask where their customers' tickets are hosted and who can access them. I obtain from Zoho the hosting region, the list of sub-processors and the data processing terms, and document the answers for your privacy lead and for client due diligence. In the design, roles restrict agents to the clients they serve, retention rules are set per app, and a rights request routine covers every app with personal data. Portugal applies GDPR with national rules and a national supervisory authority; legal interpretation stays with your advisors.
Teams in Portugal often work in English with clients and in Portuguese internally. The engagement runs in English. Portuguese-language material, such as onboarding guides, internal templates and courses for Portuguese-speaking users, is written or reviewed by native speakers in your company or at a local partner and checked during acceptance testing. Workshops take place remotely in the Portuguese morning, and visits are possible by arrangement.
Adoption rests on one habit: when an app goes live, the tool or spreadsheet it replaces is frozen. Running both in parallel for long means neither is trusted.
