Is Zoho Inventory a good choice for a Belgian distributor?

Zoho Inventory can suit a Belgian distributor that buys and resells finished goods across Belgium, the Netherlands and France, with stock in one or a few warehouses. Success depends on item data in French and Dutch, a landed cost method for goods arriving through Antwerp, batch tracking where customers expect it and clean links to webshops and carriers. A Belgian distributor can reach customers in three countries within a short drive. Goods arrive through the port of Antwerp or by air cargo through Liège and Brussels, are stored in Flanders or Wallonia, and leave for shops, contractors and consumers across Benelux and northern France.

That compact geography makes cross-border selling normal, and with it come product data in two or three languages, different carriers and customers who expect fast delivery. A single Zoho Inventory stock record can cover all of this, provided items, warehouses and channels are set up with those realities in mind.

Stock across Belgian sites and neighboring countries

Belgian distributors often run a main warehouse in the Antwerp or Ghent area, a smaller site in Wallonia or near Brussels, and sometimes consignment or third-party stock in the Netherlands or France. Customers in all three countries expect next-day delivery, so stock decisions are made daily across borders.

I model each physical place where you own stock as a warehouse in Zoho Inventory, including stock held by a logistics partner or at a customer on consignment. Movements between them are transfers, not adjustments, keeping the books whole and showing availability per site. Sales orders get a default warehouse based on the customer's region, with a rule for what happens when that site is out of stock.

Cross-border deliveries need consistent customer data. Every business customer should carry a country, a VAT number and an enterprise or company number where applicable, because the invoice tax treatment depends on them. That treatment is applied in Zoho Books or your ledger under your accountant's rules, not in Inventory. I test a domestic Belgian sale, a delivery to a Dutch business customer, a sale to a French consumer and a credit note before go-live. Item data in French and Dutch

A Belgian distributor's item master has to work in at least two languages. Delivery notes for a customer in Liège should read in French, those for a customer in Leuven in Dutch, and a webshop serving both needs descriptions in each. If product names are maintained inconsistently, customers receive documents mixing languages and staff search for the same item under different names.

I separate the identity of an item from its descriptions. The SKU, unit, barcode, weight and category are language-neutral and maintained once. Names and descriptions are held per language, using the fields and template options your Zoho setup supports, so documents pick the version matching the customer's language. Where Zoho's native options are not enough, the webshop or a product information tool holds the translated content and Inventory holds the operational data.

Labels and packaging are worth checking too. Some products sold in Belgium need information on the label in more than one language, and your regulatory advisor confirms what applies. Since the engagement runs in English, product copy in French, Dutch or German is produced by your own fluent staff or a translator, and a single owner per language keeps it current. Imports through Antwerp and the true cost of goods

Antwerp is one of Europe's main ports, and many Belgian distributors import through it from Asia, the Americas and the Middle East. Air cargo through Liège and Brussels adds another route for urgent or high-value goods. Each shipment carries freight, terminal and handling charges, customs clearance and forwarder fees, and duty on goods from outside the EU, all of which belong in the cost of the items if margins are to be honest.

Zoho's inventory and finance apps offer landed cost handling, but its capabilities differ by edition, so I run sample shipments through a trial organization before relying on it. The practical tests are whether one forwarder invoice can be spread over several purchase orders, which allocation basis fits your products, what happens when a duty bill arrives after goods have been sold, and whether stock value in Zoho Books reflects the result.

If the standard tool matches your shipments, I set it up and give buyers and accounts a one-page routine. Where it does not, I agree a periodic cost correction with your accountant. Import VAT, customs representation and any deferral arrangement are matters for your forwarder and tax advisor and are handled in the ledger. Customs references sit on each purchase record, which lets finance tie paperwork to goods.

Batches, webshops and parcels for Belgian sellers

Belgian wholesalers in food, chemicals, cosmetics and pharmaceutical supplies often need batch and expiry tracking, and electrical or technical distributors may need serial numbers for warranty claims. Zoho Inventory supports both. I apply tracking only to item groups where customers or regulators expect it, because every tracked item adds work at receiving and picking, and I write receiving steps that keep the trace intact from the first delivery.

Online sales add channels. Belgian sellers commonly run a webshop and may sell through bol.com, Amazon or other marketplaces serving Belgium and the Netherlands. Which marketplaces Zoho Inventory links to natively is region-specific and not fixed, so I confirm the current list for a Belgian account. Where a native option is missing or too limited, a connector, Zoho Flow or the API carries orders and stock. I document which system owns stock levels, prices and product content.

Parcels to Belgian consumers frequently travel with bpost or other parcel networks, while pallets go by road freight. Carrier integrations in Zoho Inventory depend on region and edition; where none fits, labels come from the carrier's own tools and tracking numbers are stored on the package. Peppol stays in finance, and when an ERP fits better

Belgian policy has pushed business invoicing toward structured electronic invoices over Peppol. That obligation is met by the invoicing system, not by Inventory. In a Zoho setup, sales orders and shipments in Zoho Inventory feed invoices in Zoho Books, and whether Books can send through Peppol directly in your configuration, or only through a separate access point provider, is something to test with Zoho and confirm with your accountant. I make sure every customer record carries the identifiers a structured invoice needs, so the data is ready whichever route is chosen.

Zoho Inventory reaches its limits in several Belgian situations. Manufacturers in Flanders and Wallonia that produce, blend or assemble need production orders, bills of materials and costing that Inventory does not offer. Distributors with large warehouses, scanning-driven picking and high volumes may need a warehouse management system. Groups with companies in Belgium, the Netherlands and France holding stock and needing consolidated margins may outgrow separate Zoho organizations.
