Is Dynamics 365 a good fit for Australian businesses?

Dynamics 365 Business Central fits many Australian wholesalers, manufacturers and project businesses that have outgrown MYOB or Xero, need several entities or warehouses, and already rely on Microsoft 365. Fit depends on GST and BAS setup, how payroll and Single Touch Payroll are handled outside the ERP, trans-Tasman needs and the partner you choose. I assess this independently and remotely.

I work remotely with Australian wholesalers, manufacturers, agribusinesses, trade contractors and mining services firms that are considering Microsoft Dynamics 365. Most started on MYOB or Xero, added inventory tools, job costing spreadsheets and a payroll app, and now find month-end depends on a few people stitching it all together.

Business Central is often proposed as the step up. It can be a very good one, but Australian projects have their own decision points: GST and BAS reporting, where payroll and Single Touch Payroll sit, New Zealand entities, freight and landed costs across long supply chains, and partners spread across several states.

Where Business Central fits Australian businesses

In Australia, Business Central commonly fits companies that hold stock across several sites, manufacture or assemble products, run projects or jobs with cost tracking, or operate more than one entity. Microsoft provides an Australian localization, so GST handling and local reporting start from a sensible base rather than a generic setup.

Larger groups and organizations with complex supply chains sometimes hear about Finance and Supply Chain Management, the bigger sibling within Microsoft Dynamics 365. That is a different scale of investment, team and timeline. I compare both against your real entities, volumes and internal capacity.

Sectors I see evaluating Dynamics include building products and hardware wholesale, food manufacturing, agricultural supplies, equipment hire and service, and mining and resources services. Each brings specific questions. Equipment hire may need a rental app. Mining services may need job costing with timesheets from remote sites. Food producers need lot tracking and recall reporting. GST, BAS, payroll and e-invoicing in Dynamics

The Business Activity Statement is where Australian finance teams feel ERP quality most directly. If tax codes are clean and transactions reconcile, preparing the BAS becomes a review. If they are not, it becomes a monthly or quarterly reconstruction. I work with your accountant to settle the coding of each kind of supply, whether taxable, GST-free or input-taxed, plus imports, adjustments and capital purchases, then build UAT cases that trace each one through to the BAS figures.

Payroll needs an early decision. Business Central does not usually run Australian payroll in its base form, so most businesses use a specialist payroll product or an add-on app that handles Single Touch Payroll reporting and superannuation, and posts journals into the ERP. I design that interface, including cost allocation by job, site or department, and make sure leave liabilities and on-costs land correctly.

E-invoicing through the Peppol network is used in Australia, particularly when dealing with government buyers and larger customers. Ask your partner whether it is covered by a connector app, a third-party service or not at all, and who maintains it. Check current tax and reporting requirements with your accountant, since obligations evolve.

Migrating from MYOB, Xero or an older system

Australian businesses usually come to Dynamics from MYOB or Xero, sometimes from Sage, older NAV installations or industry systems built for a specific trade. Each starting point brings different data quality issues. MYOB files can carry years of history with inconsistent card files and job codes. Xero setups often have tidy bank reconciliation but inventory and job data held in connected apps or spreadsheets. NAV sites have rich data and customizations that need careful review.

Together we settle which records convert as live items: debtors, creditors, open orders, stock and active jobs, and what moves as balances or stays archived. Sign-off is planned before conversion starts: the ledger, debtor and creditor ageing, stock by site and job WIP each get a named finance approver. Integrations often matter as much as migration. Common connections include e-commerce platforms, freight and courier systems, bank feeds, payroll and field service apps. I list them with an owner, a direction and an error-handling approach so they do not become the reason go-live slips.

Trans-Tasman groups, data location and local partners

Many Australian businesses also trade in New Zealand or operate a subsidiary there. In Business Central, the New Zealand entity would normally use its own localization and company, with intercompany transactions and consolidation in Australian dollars. I design that structure, currency handling and the group reporting pack so consolidation does not depend on manual workbooks.

Data location is a fair question, particularly for suppliers to government, healthcare or financial services. Microsoft operates Azure regions in Australia, yet residency of a particular Dynamics tenant and its backups is something to get in writing from the partner and cross-check on microsoft.com. Involve whoever owns privacy and security compliance.

Australia's Dynamics partner market includes national firms and smaller specialists based in different states. Some focus on distribution or manufacturing, others on professional services or not-for-profit. Reasons an Australian business might pass on Dynamics

I would rather tell you Dynamics is not right than sell a project that should not happen. Common Australian situations where I suggest caution:

  • Small businesses comfortable on Xero with a few connected apps: a well-designed app stack may serve you better for now.
  • Trades and construction businesses needing deep job management: industry-specific software may fit better than Business Central plus several apps.
  • Businesses wanting payroll inside one system: if that is a firm requirement, compare platforms where Australian payroll is native.
  • Companies without a clear internal system owner: without one, configuration drifts and support costs grow.
  • Limited budget for partner services: licenses are only part of the cost. Implementation, apps and ongoing support add up.
