Client money, deposit schemes and the agent's ledger

For a UK letting or managing agent, client money is the center of the accounting design. Rent collected for landlords, deposits held under an insured arrangement and float for repairs sit in client accounts, separate from the firm's own funds. Agents are generally expected to belong to a client money protection scheme and a redress scheme, and their professional bodies or schemes set out how client accounts should be operated and reconciled. I work from the rules that apply to you, confirmed with your compliance lead, rather than a generic checklist.

Residential deposits bring their own sequence. For most assured shorthold tenancies in England and Wales, the deposit must be protected in an approved scheme within a set period and the tenant given prescribed information, while Scotland and Northern Ireland run their own schemes. The system should hold the scheme, reference and dates per tenancy and flag any tenancy without them, because the consequences of getting this wrong can be serious.

The requirement I write first is a daily view of client money: balance per landlord, per block and per deposit, matched to the bank. If that view exists only after someone has spent a day in spreadsheets, nothing else in the design matters until it is fixed.

Leasehold blocks, service charge budgets and major works

Block management is accounting on behalf of leaseholders. Each building, and often each schedule within it, has an annual budget, apportionments defined in the leases, demands on account, a reserve or sinking fund and year-end accounts that leaseholders are entitled to question. Service charge money is typically held on trust, and industry codes of practice shape how it is reported. Leasehold and service charge law in England and Wales has been going through reform, so I keep requirements adaptable and check current rules with your advisors.

Major works add a consultation process before costs above certain limits can be fully recovered from leaseholders: notices of intention, estimates, observations and a final notice. I treat this as a workflow with dates and documents attached to the project, linked to the reserve fund and to the demands it eventually produces.

In system terms, the questions are whether each block is its own set of books or a dimension inside one ledger, how apportionments handle units with different shares across schedules, and how one leaseholder's arrears are pursued without distorting the block's accounts. I build test cases from a few of your real blocks, including one with a messy history, and run them through user acceptance testing before any demand goes out from the new system.

Quarter days, VAT elections and overseas landlords

Commercial rent in the UK is commonly demanded quarterly in advance on the traditional quarter days, though some tenants pay monthly by agreement. Leases carry upward-only or open rent reviews, turnover rent for some retail units, insurance rent and service charge on account. Rent reviews often settle long after the review date, so the system must calculate backdated differences and any interest the lease provides for.

VAT depends on the property and the landlord's choices. Residential rent is generally exempt, while a commercial landlord may opt to tax a building, which makes rent and service charges on that building standard-rated and changes how VAT on costs is recovered. The election belongs to the building and the landlord, so it should be recorded at that level and drive the tax code on every demand. Your tax advisor confirms the treatment; the system applies it consistently.

Agents collecting rent for landlords living abroad may need to operate the non-resident landlord arrangements with HMRC, either deducting tax or holding approval to pay gross. Landlords themselves face digital record-keeping requirements for property income under Making Tax Digital, which makes clean, categorized landlord statements more valuable. Specialist platforms, Sage and the decision in front of you

A UK agent's setup often centers on a specialist lettings or block management platform, while commercial managers may use property accounting software alongside a separate corporate ledger in Sage, Xero or similar. Problems tend to appear at the joins: landlord payments exported by file, service charge accounts rebuilt in spreadsheets for the accountant, or group finance unable to see client money positions without asking.

My role is to make the decision explicit. Some businesses should keep the specialist platform and connect it properly to finance through ERP integration; some should consolidate onto a configurable ERP; some need a different specialist tool altogether.
