I work remotely with automotive businesses in the UAE: groups that hold distribution rights for vehicle brands, independent showrooms and used car traders, workshops and body shops, and spare parts houses that sell locally and ship onward to buyers across the region and beyond. Many of these are family-owned groups that have added brands, branches and trading companies over the years.

The emirates add their own twists. Vehicles and parts come in from several continents in different currencies, a share of stock leaves again as re-exports, service packages are bundled into vehicle deals, and customers expect Arabic and English documents. I document those flows first, so the ERP is chosen for how you trade rather than for a generic demo.

I usually work with group finance heads, after-sales directors and owners who need one picture across showrooms, workshops and parts trading entities.

Import and Landed Cost

I define how freight, insurance, customs duty, clearing charges and conversion costs are added to each vehicle or parts shipment, so margin per unit reflects what the stock really cost to bring in.

Service Package Design

Free and paid service packages sold with vehicles create obligations that run for years. I specify how packages are sold, consumed visit by visit, expired and reported, so the workshop and finance agree on what is owed.

Re-export Trade Flows

For yards and parts houses that ship onward, I map export orders, packing, documentation, payment terms in foreign currency and the evidence finance needs to support the VAT treatment of each export sale.

Principal Warranty Claims

Brand agents recover warranty costs from the manufacturer. I design the claim path from job card to submission, rejection follow-up and credit matching, with aging visible by brand and by branch.

Parts Catalog Cleanup

Genuine, OEM-equivalent and aftermarket parts for many brands create duplicates and cross-references. I set numbering, interchange and supersession rules before data moves into any new system.

Agents, distributors and independent traders

New vehicles in the UAE are generally sold through distribution arrangements between manufacturers and local companies, often long-established groups that run showrooms, service centers and parts warehouses across several emirates. Alongside them, independent traders import new and used vehicles through other channels, and a large used car trade buys locally and from abroad, then sells to residents or ships onward.

Each model puts different demands on the ERP:

  • Brand distributors answer to the manufacturer for sales targets, stock levels, warranty and parts availability, and often run a DMS the manufacturer expects, with the ERP covering group finance and shared services.
  • Independent importers carry the full import cost and currency risk on every unit and need landed cost by VIN.
  • Used car exporters need fast purchasing, reconditioning cost capture and export documentation.
  • Parts houses juggle many brands and qualities of parts for local garages and export buyers.

The details of any distribution agreement are a legal matter, and I do not advise on them. What I do is make sure your system captures what those agreements require you to report. The general model for the industry is on my automotive ERP page.

Import paperwork, registration and landed cost

Every vehicle that enters the UAE carries a trail of documents: supplier invoice, bill of lading, customs declaration, duty payment and, before it can be driven by a customer, registration with the traffic authority of the relevant emirate. Used vehicles may also go through inspection and certification steps. When that trail lives in email and folders, it is hard to prove what was paid for which unit or to answer a buyer who wants export papers quickly.

In the ERP, I usually recommend:

  • a vehicle record keyed on VIN from the moment it is ordered
  • shipment-level landed cost allocated across vehicles by an agreed method
  • document attachments and status steps for clearing, registration and export
  • currency rates captured at order, shipment and payment so exchange differences are visible

VAT applies to vehicle sales, parts and workshop services, and exports carry their own documentation needs. With national e-invoicing on the way in the UAE, I also ask each vendor how its product plans to support it. Service packages, warranties and the workshop

UAE car buyers are used to receiving service packages with a new or used vehicle, and many workshops also sell extended warranties and maintenance contracts on their own. Each package is a promise of future work. If the system only records the vehicle sale, the workshop later carries out free services with no link to the package, and finance cannot tell how much service is still owed to customers.

A sound design treats the package as its own record: what was sold, at what value, which visits or parts it covers, how each visit consumes it and when it expires. The workshop job card then calls on the package instead of a manual discount. The same thinking applies to manufacturer warranty, where the agent does the work and recovers cost from the principal, and to extended warranties underwritten by a third party.

When I run UAT, I always include a vehicle sold with a package, its first free service, a chargeable repair on the same visit and a warranty item, because that combination exposes most gaps in one job. My testing and UAT service describes how those scripts are built.

Parts trading, re-exports and choosing a platform

Spare parts trading is a business of its own in the UAE. Houses stock genuine and aftermarket parts across many brands, sell over the counter to local garages and pack mixed orders for buyers in other markets. Their requirements look much like UAE trading companies, with extra weight on part interchange, quality grades and fast pick and pack.

Systems I commonly find include Tally or another local accounting package with a separate parts application, spreadsheets for vehicle stock and a DMS in franchised operations. Platform choice depends on volume, entity structure and how much of the operation the manufacturer controls. I test each shortlisted system with a container of mixed parts, a re-export order in foreign currency and a workshop visit using a service package, then score the results with your team.

Then the ERP usually carries group finance, purchasing, parts trading for other brands and consolidated reporting, with an interface to the DMS.
