How does Odoo Projects work for Swedish service firms?

Odoo Projects links sold services, tasks, timesheets and invoices for Swedish consultancies, installers and technical service firms. A consultant decides how each service is billed, whether fixed price, milestone or time and materials, how field visits and service agreements run, and what reaches Odoo Accounting so VAT details such as construction reverse charge are applied as your advisor directs. I do this remotely and independently.

A Swedish installation company, IT consultancy or engineering practice often sells three ways at once: a fixed-price delivery, hourly work called off under a framework and a recurring service agreement. When each lives in a different tool, nobody can say which jobs make money. Odoo can keep the sale, the work and the invoice as linked records, provided the service products are designed with care.

I work remotely with founders, delivery managers and finance leads. The engagement runs in English; customer-facing texts in Swedish are written or checked by your own staff. My part is billing design, timesheet policy and the handoff to accounting. Tax judgments stay with your advisor.

Billing Model Design

Deciding per service whether Odoo invoices on ordered quantity, delivered hours or reached milestones, and writing those rules into service products that sales can quote without workarounds.

Agreeing what staff log, at which level, by when and who approves it, keeping billable work apart from internal time so invoices and project margins can both be trusted.

Field Service Setup

Planning installation and service visits, worksheets completed on site, materials taken from van stock and the link from a finished visit to the correct invoice line.

Service Agreements

Recurring contracts for maintenance, support or hosting through Odoo Subscriptions where your edition includes it, with renewal, price adjustment and invoicing rules agreed with finance.

Subcontractor Costs

Fixed price, milestones and hourly call-offs for Swedish clients

In Odoo, the billing behavior of a project is set mainly on the service product sold. That product decides whether confirming the order creates a project or a task, and whether the invoice follows the ordered quantity, logged hours or milestones marked as reached. Getting this matrix right is most of the design.

A Swedish service firm may combine several contract forms:

  • Fixed price: a defined delivery, such as an installation or a system rollout, invoiced in agreed parts. Hours are still logged, but for margin rather than billing.
  • Milestones: phased work where each phase is invoiced when the client accepts it. Acceptance needs an owner and a record, or invoices stall.
  • Time and materials: hourly work, often called off under a framework agreement with a public body or a large company, where the rate card and the call-off reference must appear on each invoice.
  • Mixed orders: a fixed installation plus hourly extras, which Odoo can hold on one sales order with different service products.

I build a matrix of every service you sell against its billing rule, then test a sample of real past jobs through Odoo to see whether the invoices match what you actually billed. Installers, field visits and Swedish VAT details

Installation and technical service firms in Sweden, from electrical and ventilation contractors to firms fitting security or energy equipment, work largely at customer sites. Odoo Field Service, which has been part of Enterprise, plans visits, gives technicians a mobile worksheet, records materials used from van stock and turns the completed visit into invoice lines.

The design questions I work through with operations:

  • how jobs are created: from a sales order, a service agreement, a helpdesk ticket or a phone call
  • which worksheet fields the technician must complete, written in Swedish by your staff
  • how van stock is replenished and counted
  • whether travel time and call-out charges are billed, and how

Two Swedish tax topics often surface here, and both belong to your advisor. Swedish VAT rules include a reverse charge for certain construction-related services between businesses, which changes how the invoice is issued. Work for private households may also qualify for the ROT or RUT tax reductions, where the invoice and a claim to the tax agency need specific information. Whether either applies to a given job, and whether your Odoo version handles it natively or needs a module, has to be confirmed. I make sure the project and product data carry the flags finance needs, then test sample invoices with your accountant before go-live.

Timesheets, subcontractors and the people behind the hours

Project billing is only as reliable as the hours behind it. For a Swedish consultancy or installer, the timesheet policy needs to answer a handful of plain questions: whether staff log against projects or tasks, how quickly after the work, who approves hours before invoicing, and how internal work, travel and rework are recorded so they count as cost but never reach a client's invoice.

Swedish working-time arrangements, such as flexible hours, overtime and absence, are usually handled in the payroll or time system, often run by an external payroll provider. I keep Odoo timesheets focused on project time and agree what, if anything, flows between Odoo and the payroll system, rather than turning Odoo into an attendance tool by accident.

Subcontractors need their own path:

  • Onboarding checks: verifying a contractor's tax registration status, which Swedish rules make relevant to how payments are treated, is a finance control I build into the vendor setup at your accountant's direction.
  • Bought-in hours: purchase orders or vendor bills linked to the project's analytic account, so cost appears against the right job.
  • Re-invoicing: whether a contractor's cost is passed on at cost, with a markup or not at all, defined per service.

The result is a project report where internal hours, contractor costs and revenue sit side by side without manual adjustments.

Service agreements and recurring invoicing

A Swedish service firm may also earn steady revenue from agreements: annual maintenance of installed equipment, IT support retainers or hosting fees. In Odoo, these usually sit in the Subscriptions app, which has been Enterprise, combined with Field Service or Helpdesk for the work itself.

The design decisions I put to management and finance:

  • Agreement structure: what is included, what is billed extra and how the boundary is recorded, so technicians know when a visit is covered.
  • Invoicing rhythm: monthly, quarterly or yearly in advance, with clear rules for agreements that start mid-period.
  • Price adjustment: how and when prices are indexed or renegotiated, following your contract terms.
  • Renewal and churn: who is alerted before an agreement ends and how cancellations are recorded.
  • Revenue view: how recurring revenue is reported to management, separate from one-off project income.

Agreement work creates its own planning load. Preventive visits generated from agreements need to be scheduled alongside project work, and the planner needs one view of both. I test that view with your real agreement list before go-live. If agreements are a small part of your business, a simpler approach with recurring sales orders may be enough, and I say so rather than adding apps you will not use.

From project to ledger, and when Odoo is not the tool

Every project in Odoo can link to an analytic account, so revenue, timesheet costs, purchases and expenses meet in one profitability view. If Odoo Accounting is your ledger, invoices flow into the same books that produce VAT reports and the SIE export your accountant expects. Public sector clients will usually want invoices delivered over Peppol. The finance side is covered on my Odoo Accounting page for Sweden; on the project side I make sure buyer references and call-off numbers are captured when the order is confirmed.

Edition and hosting shape the scope. Project and Timesheets are in Community, while Field Service, Planning, Subscriptions and timesheet validation features have been Enterprise. Confirm the current split with Odoo or the partner. Odoo Online limits custom modules, which matters if ROT handling or a payroll link needs custom work.

Odoo Projects is not the right tool when:

  • a building contractor needs progress claims, retention and production calculations, where construction project software fits better
  • a consultancy only needs time tracking and invoicing, and its accounting package already does that well
  • nobody will own the timesheet discipline after launch

Questions About Odoo Projects Consultant Sweden

Odoo can apply different taxes and fiscal positions to invoices, and the Swedish localization may provide the relevant tax setup in your version. Whether reverse charge applies to a given service is for your advisor. I make sure the right flag reaches the invoice and test it with your accountant.

Do not assume it. Handling these household tax reductions needs specific invoice data and a claim process, which may require a localization feature or a third-party module in your version. I check what is available, confirm it with Odoo or the partner and test it before relying on it.

Field Service has been part of Odoo Enterprise in recent versions, along with Planning and Subscriptions. Project and Timesheets are available in Community. Confirm the split for your version with Odoo or the partner before designing around a particular app.

Yes, through analytic accounting. Each project links to an analytic account where revenue, timesheet costs, purchases and expenses meet. The report is only as good as employee cost rates and timesheet discipline, so I design both with finance before go-live.
