How do Malaysian project businesses use Odoo Projects?

Malaysian factory automation integrators, cleanroom and M&E contractors and industrial equipment suppliers use Odoo Projects to link sold equipment, engineering hours, site work and service contracts to milestone invoices in Odoo Accounting. Each invoice and credit note must pass through the MyInvois route, and payments to individual subcontractors may raise self-billing questions for your advisor. I design project billing and service flows remotely and independently.

The factories of Penang, Kulim, Johor and the Klang Valley rely on a wide circle of project businesses: integrators building automated test and assembly cells, contractors fitting out cleanrooms and utilities, suppliers installing machines and maintaining them afterward. Their projects mix purchased equipment, in-house fabrication, engineering time, site labor and later service visits, often for customers in several countries.

I work remotely with Malaysian directors, project managers and finance teams so that Odoo's project, time-tracking and sales apps hold those elements on one project, and so milestone invoices leave Odoo Accounting with the data MyInvois expects.

Order Structure

Equipment, fabrication, engineering, installation and commissioning as separate order lines with their own billing rules, so the project shows which part earns margin and which part leaks it.

Automation integrators and equipment suppliers

Professional service firms in Malaysia, such as engineering consultancies and IT system integrators selling mainly hours, are covered on my Zoho Projects in Malaysia page. Odoo Projects becomes more attractive where a project carries physical goods: equipment bought for the customer, parts fabricated in your workshop and spares held in stock.

A typical Malaysian automation integrator, for example, sells a test cell to an electronics plant. The order includes purchased robots, cameras and controllers, frames and fixtures made in-house, design and programming hours, installation and commissioning on site, training and a warranty period. Each part behaves differently:

  • Purchased equipment flows through purchasing and inventory, and may be invoiced on delivery or at a milestone.
  • Fabricated parts may run through manufacturing orders, linking to my Odoo Manufacturing in Malaysia page.
  • Engineering and programming are logged on timesheets against project tasks, whether billed as fixed scope or by the hour.
  • Installation and commissioning are scheduled site work, often with travel and allowances.

Putting all of this on one sales order with separate lines, each with its own product and invoicing policy, lets the project manager see what has been delivered and billed, and lets finance see the margin by component. The general billing models are on the Odoo Projects page.

Milestone claims that pass through MyInvois

Malaysian project contracts commonly pay on milestones: a down payment with the purchase order, a payment after factory acceptance testing, another on delivery or installation, and the balance after site acceptance, sometimes with a retention held until the warranty ends. Under e-invoicing, each of those invoices, plus any credit or debit note for variations, needs to carry the data MyInvois validates and reach the platform through your chosen route.

What I design and test:

  • Down payment invoices from the sales order, with the tax treatment your advisor sets.
  • Milestone invoices released when the project manager marks a milestone reached, tied to the correct order lines.
  • Final invoices that deduct earlier payments, checked against how your advisor wants advances shown.
  • Variations as new order lines, and credit notes linked to the original invoice when scope is reduced.
  • Currency: USD contracts for multinational customers alongside MYR ones, with the rate rules your accountant sets.

Retention is not a native Odoo concept; it can be handled with a separate retention milestone or a configured approach your accountant agrees, or with customization for larger contractors. Subcontractors, site costs and self-billing questions

Malaysian project firms rely on subcontractors for electrical work, piping, installation labor and specialist services. Some are companies that issue their own e-invoices; others are individuals or small suppliers who may not. Payments to certain parties, such as individuals or foreign suppliers, can require the buyer to issue a self-billed e-invoice. Which payments are affected is a question for your tax advisor, but the project design must allow for the answer.

The cost model I agree with project managers and finance:

  • Company subcontractors on purchase orders tied to the project, with their bills posted to its analytic account.
  • Individual subcontractors handled through the self-billing process your advisor confirms, still linked to the project so cost is not lost.
  • Site allowances, travel and accommodation entered as expenses against the project, especially for work in Sabah, Sarawak or neighboring countries.
  • Own engineers logging timesheets with cost rates finance maintains.

Timesheet approval and mobile entry depend on edition and version, and both are checked before engineers on a customer's factory floor are told how they will record hours. Where service tax may apply to some of your services, the tax setup comes from your advisor, and I test it on project invoices. After commissioning: warranty, service visits and maintenance contracts

Once a line, cleanroom system or machine is handed over, the customer expects support: warranty fixes, preventive maintenance and emergency call-outs, often under an annual maintenance contract. For many Malaysian equipment suppliers this recurring revenue matters as much as new projects, and it is where billing slips most easily.

What Odoo offers, by edition:

  • Field Service, an Enterprise app, for scheduling visits, recording time and parts and capturing the customer's signature on a worksheet.
  • Subscriptions, also Enterprise, for annual or quarterly maintenance contracts that invoice automatically, each invoice still passing through MyInvois.
  • Helpdesk, Enterprise, for customers to raise issues that become visits or tasks.
  • Spare parts drawn from Odoo Inventory, so each part fitted at the customer's plant leaves stock and shows on the job.

Without Enterprise, a service project with tasks, logged hours and invoices raised by hand still works for a modest service team. I agree one rule early: whether a visit is warranty, contract or chargeable is decided when the visit is created, not when the invoice is due. That rule, plus a link back to the original project, shows the true cost of warranty for each product line. The ERP for field service page covers the wider design.

Questions for the implementer, and where another base fits

Ask Odoo or your implementer to confirm the following for the version, edition and hosting you plan, before the scope is fixed:

  • Field Service, Subscriptions, Helpdesk, Planning, Gantt views and timesheet validation are Enterprise apps.
  • How down payments, milestone invoices and credit notes behave with the Malaysian localization and the MyInvois route in that version.
  • Whether self-billed e-invoices are supported natively or through a connector.
  • Whether any Malaysian or project add-on can be installed, given that Odoo Online restricts outside modules.

Odoo Projects is not the right base for main contractors on large building or infrastructure work with bills of quantities, interim certificates and complex retention schedules; construction-specific systems handle that better. It is also more than needed for consultancies that only track hours and invoice from an existing accounting package. For multi-country groups, check that every country's localization in the shared database is ready before putting regional projects there. Questions About Odoo Projects Consultant Malaysia

Odoo can raise down payment, milestone and final invoices from a sales order, with credit notes linked to originals. Each must pass through your MyInvois route, which depends on version and edition. I test every document type with real project scenarios, and your tax advisor confirms treatment and timing.

Retention is not a native Odoo feature. Smaller projects can use a separate retention milestone or another approach your accountant agrees. Contractors with formal retention schedules usually need customization or a construction-specific system. I assess your contracts before recommending either route.

Possibly, for some payments such as those to individuals or certain foreign suppliers. Your tax advisor confirms which payments are affected. I then design the project cost flow so self-billed documents are issued correctly and the cost still lands on the right project.
